JOB PURPOSE

  • To control the equipment asset logistics of Rapid’s operations across the GCC.
  • This includes transport and import / export management of equipment assets from origin ,arrival at Jebel Ali port, through the MPC (Machine Preparation Centre) and until dispatch to final destination one of our operating depots.
  • Facilitate the cross-border movement of equipment based on movement plan approved by senior management.
  • Logistics management includes liaising with freight forwarders / customs and the internal administration required to maintain equipment assets within the rental software and alternative excel based reporting systems as required.

Key Responsibilities

Asset Management

Managing assets within L-Vis, the asset management and rental system

  • New asset creation – processing of new e-code
  • New item creation – processing of new item code
  • Cross border transfer of asset – removal of e-code from depart depot & creation of new e-code to the receiving depot
  • Inter depot machine transfer – transfer of machine from one depot to another depot
  • Asset/Item code removal – removal of asset from holding depot and transferring to the Transfer Depot
  • E-Code Status update / E-Code Service update

Manage and maintain monthly submission of reports to UK & to Finance Team

  • Machine purchase – monitor all assets purchased.
  • Machine deliveries (purchased new/used machines added into the fleet)
  • Machine disposals (sold; auctioned; scrapped)
  • Machine transfer
  • Machine movement
  • Consignment Stocks – management of consignment stocks by region.
  • MPC holding fleet

-Update & maintain fleet records (soft & hard copy formats) including export/import documents

Shipping/Logistics/Procurement

Import

  • Sort-out shipping documents for Machines & spare parts and liaise with the shipper/supplier if any delay on documents and any amendment required
  • Monitor shipping forecast and constant follow-up with the freight forwarder regarding clearance and delivery
  • Prepare authorisation letter and gate passes if required
  • Schedule delivery and arrange transport
  • Arranging crane/forklift for grounding of containers and unloading
  • Proper coordination with the workshop people re delivery schedules

Export

  • Obtain quotations (inter GCC only) from haulage and request approval
  • Prepare export documents and other required documents if any
  • Schedule MAKASA inspection for all duty exempt machines.
  • Book low bed trailers and arrange loading.

Procurement

  • Raise purchase orders for MPC requirements.
  • Raise purchase orders for non-fleet capex
  • Place orders to suppliers and coordinating with the availability of goods and ensure that all goods will be delivered on schedule
  • Goods-in of all received goods in the system
  • Verify invoices submitted by freight forwarder

MPC Administration

  • Arrange Third Party Inspection of MPC fleet and ensure that all machines have been tested before they will move to any destination.
  • Prepare arrival notification sheet for the newly arrived machines into MPC
  • New E Code Creation
  • Prepare collection note of the machines leaving UAE
  • Gather PDI/PHI/PPM QIP/Service Inspection/Machine Performance sheets from Technical Department
  • Scan export documents, machine transfer documents, Third Party Inspection Certificates and send to the receiving depot.

Technical Support

  • Ownership Warranty & Registration of JLG Machines – JLG website
  • Genie & JLG Technical Safety Bulletin – as per instructions
  • Maintain file for CE/ANSI Certificates
  • Print-out of Machine manuals as per request
  • Provide assistance to all depots within the region including international projects

In addition to the above the Job Holder shall carry out any other duties as are deemed necessary to carry out the role.

المهارات

Person Specification

  • 3+ years’ experience within logistics / freight forwarding/related role within the Middle East
  • Good knowledge of import and export requirements within the GCC
  • Strong administrative skills including excel, emails and word
  • Good communicator with high level English language skills both written and verbal.
  • Must be able to work under their own initiative to successfully deliver tasks in a time focused work environment.
