The mission of the Global Privacy Office is to enable WFP to protect personal data & respect privacy in line with relevant internationally recognized standards & best practices, to foster transparency and trust among stakeholders.

In this context, the Special Assistant and Digital Communications Officer play a key role to leveraging the Office’s mission, strategy, and activities by developing tactical narratives, messages and content to support this business objective. The consultant will assist the Director of the Global Privacy Office in writing, editing and developing core communications content needed to effectively operationalize the GPO’s strategy and communication plan, internally and externally and also in bring more agility and greater support to the office.

This requires an experienced and creative expert with strong multi-media, design, and marketing skills who can work in a team to enhance internal communication.

JOB PURPOSE

In this context, the Special Assistant and Digital Communications Officer play a key role to leveraging the Office’s mission, strategy, and activities by developing tactical narratives, messages and content, to support this business objective. The consultant will support the Director of the Global Privacy Office in writing, editing and developing core communications content needed to effectively operationalize the GPO’s strategy and communication plan, internally and externally and also in bring more agility and greater support to the office.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the supervision of the Director of the Global Privacy Office, the Special Assistant and Digital Communications Officer will be responsible for the following key duties:

Support the Director in the coordination of cross-cutting issues across the Division:

  1. Identify all matters requiring the personal attention or decision of the Director; assist in formulating options to address daily matters and ensure appropriate follow-up to achieve the objectives of the GPO.
  2. Coordinate the drafting and clearance of various documents and management reports on behalf of the Director. When appropriate, lead the drafting of background documents, talking points, briefs and other written outputs for the Director, for both external/internal stakeholders and donors.
  3. Assist the Director in high level events and spot internal and external visibility opportunities for the GPO.
  4. Support the Director and the whole Office in championing the GPO, its vision, mission and workplan, bridging the gap between field and HQ and acting as liaison between management and field personnel (facilitator role).
  5. Liaise with other relevant actors in on regular basis to follow up on issues, priorities and decisions concerning management.
  6. Ensure that confidentiality on all subject matters is maintained as required.
  • Support, maintain, and update an appropriate Communications Plan which aligns with the GPO strategy and WFP’s corporate communications strategy, to maintain and enhance the visibility, reputation and understanding of GPO internally and externally at inter-agency level.
  • Support the development and maintenance of multi-channel content planning. Research, draft and validate content to drive GPO’s internal communications supporting all aspects of its cross functional nature. Liaise with the Communications, Advocacy and Marketing Division (CAM) to develop complementary planning, tools, messaging, quality standards and measurements to reflect the entire GPO Division.
  • Create and edit visibility content for multiple platforms including websites, intranet, events, factsheets, presentations videos, photos, and audio for use across a range of integrated online platforms, including Yammer and WFP intranet, providing a concise and consistent narrative style across materials, ensuring consistency with corporate messages.
  • Develop Privacy related key messages for internal and external events, aligned to vision, strategic objectives, and divisional priorities.
  • Provide quality control of GPO products and deliverables from a communication and branding perspective.
  • Coordinate accurate and timely reporting on communications activities that enables informed decision-making, evaluation of objectives and consistency of information presented to stakeholders.
  • Analyse media and tools to identify trends and/or issues and propose solutions and ideas to improve the effectiveness of communications activities.
  • Other as required. Additional specific writing or content production projects to support implementation of the GPO’s Communications Plan may be assigned within the duration of the contract by request.

DELIVERABLES

Delivery of the initial series of writing & editing assignments includes:

  • The Director is supported in her day-to-day work and responsibilities.
  • A culture of communication is fostered in the Division.
  • Visibility of the GPO is curated across multiple communication mediums.
  • The GPO speaks consistently and with one voice to senior leaders.
  • Digital productivity tools are embedded more and more in the divisional processes and daily tasks.
  • Drafting of Executive Summary of the GPO Strategic Plan
  • Delivery of internal communications assets with end-to-end planning and content preparation.
  • Writing of an overview information sheet and package of Key Messages for GPO
  • Drafting of strategic messages, briefs and written communications material for the Office as needed
  • Copy-editing support of GPO strategy supporting documents (e.g. Communications & Training Plans)
  • Drafting or editing any internal or external-facing communications content including blogposts, key messages, newsletter, presentations or campaign content.

QUALIFICATIONS & EXPERIENCE REQUIRED

EDUCATION

  • Advanced University Degree in Communications Journalism, International Relations, Public Relations, or other relevant field of study, with additional years of related work experience and/or training/courses.

EXPERIENCE

  • At least 3 years of international, relevant and progressively responsible experience in communications and information management.
  • Experience producing editorial content and communications products for the United Nations or other International Organization strongly preferred.
  • Experience working with International Organizations to shape and edit existing content into clear and compelling prose.

KNOWLEDGE & SKILLS

  • Native level English writing and copyediting skills.
  • Knowledge of digital/data project management, international development, partnerships, communications campaigns, and advocacy.
  • Strong IT foundation, understanding the human element of digital change, as well as hands-on transformational experience within a complex organization.
  • Excellent understanding of developing and managing digital communications channels, and public information systems.
  • Strong negotiation and communication skills. Well organized and detail oriented.
  • Ability to work independently while also functioning as integral part of a team.
  • Ability to design clear and compelling information products and find innovative ways to communicate, including through new technologies.
  • Experience producing professional quality written outputs on a deadline.
  • Demonstrated experience drafting and producing reports, strategies, and policy briefs and key messaging.
  • Ability to synthesize complex technical content into compelling and clear narrative.
  • input and integrate comments from multiple sources and stakeholders throughout a drafting process.
  • strong sense of responsibility, confidentiality and accountability.
  • excellent knowledge of WFP operations.
  • Experience in the effective use and management of Office 365 tools (Teams, SharePoint Online, Planner, Power Automate, etc)
  • Time management skills with an ability to plan ahead, anticipate requirements, problems and obstacles, and an ability to juggle competing priorities successfully, and to work on tight deadlines;
  • Detail-oriented with a client-oriented and user-centric approach in solutions

LANGUAGES

  • Fluency (level C – native level) in written and spoken English language is required
  • Intermediate knowledge (level B) of a second official UN language: Arabic, Chinese, French, Russian, Spanish, and/or WFP’s working language, Portuguese considered an asset.
