At WFP, we are looking for an experienced Logistics Assistant (Transport) to join our Logistics team in Kassala, to be hired on Service Contract at level 5.
KEY ACCOUNTABILITIES (not all-inclusive)
- Provide support to logistics operations and activities (e.g, monthly transport allocation and transport plan) following standard processes and facilitating, directly or indirectly, the effective delivery of food assistance to beneficiaries.
- Provide information for transport purchase order creation and follow for release
- Issue the stock transport order (STO/LTI) through LESS and share with the transporters
- Prepare the waybills in the system for the dispatches and share with storekeepers for execution
- Provide daily tracking of in commercial and WFP fleet and provide ETA to consignees
- Support timely delivery of commodities and supplies to authorized partners and destinations.
- Support management of logistics vendors activities including performance monitoring and measurement.
- Respond to a variety of technical queries/requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries with a high standard of client service mind-set.
- Support operational pipeline analyses, assessments and operational planning for all delivery modalities.
- Liaise with internal and limited number of external stakeholders to support efficient logistics operations management.
- Provide guidance to other support staff, in order to assist them in completing standard tasks to agreed standards and deadlines
- Take responsibility for data integrity to facilitate availability of accurate information in corporate systems.
- Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
- Perform Any duties assigned by the supervisor
OTHER POST REQUIREMENTS
- Logistics related field missions as required, including support and advice to the co-operating partner.
- Oversight and supervision of fuel management, issue, receipt, re-order and reporting as per established systems.
- Assist in the effective planning and management of warehouse operations, to ensure safe and efficient warehousing and storage of all commodities and supplies.
- Coordinate the receipt/dispatch of commodities, to ensure accurate recording, accounting and reporting is available at all times to support decision-making.
- In accordance with established procedures, thoroughly check the information recorded in hard-copy documents (receipts, loading instructions, waybills) for clarity and correctness.
- Ensure that accurate LESS stock records maintained at all times; ensure that clean and correct data captured from the documents such as OBDs, STOs, Physical inventories, Losses, Gains, into the commodity tracking database system.
- Perform other related duties as and when required.
STANDARD MINIMUM QUALIFICATIONS
Experience:
- A minimum of at least four (4) years of relevant professional experience is required
Education: Completion of secondary school education. A post-secondary certificate in the related functional area.
Language: Fluency in both English and Arabic.
FUNCTIONAL CAPABILITIES
- Experience maintaining corporate systems and running queries on ongoing shipments, pipeline information, insurance claims, and food stock.
- Experience in administering third party service providers’ contracts.
- Experience in compiling contract documentation.
- Experience in contract execution.
- Experience in budget monitoring and reporting.
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE
- Experience using corporate systems to monitor ongoing shipments, pipeline information, insurance claims, and food stock.
- Experience analysing data (on commodities, funds, etc.) and drafting reports.
- Experience in measuring service providers’ performance against set KPIs.
- Experience in assisting the preparation of contract documentation.
- Experience in providing technical business support in corporate systems.
