Organizational Context and Scope

Under the overall supervision of Chief of Mission, Sr. Resource Management Officer and the guidance of Resource Management Officer and direct supervision of the Senior Finance Assistant, the incumbent will be performing the following functions:

Core Functions / Responsibilities:

  1. In close coordination with SRMO, RMO, the RMU department in Amman Main office, ensure compliance with IOM policies and procedures, accomplish established objectives, and ensure economical use of resources and safeguarding of IOM asset and property.
  2. Assist in checking the accuracy and completeness of all incoming payment, invoices, official receipts before processing the request for payment or receipt.
  3. Processing and releasing cash payments daily and coordinating cheque and transfer payments to staff and/or other payees in coordination with Senior Finance Assistant, ensuring all official supporting documents and authorizations as per the office Payment Matrix are in place before payment.
  4. Entering payments, receipts and non-cash vouchers in the organization accounting system (PRISM FI) in line with assigned PRISM FI role.
  5. Ensure that all settlements are submitted on timely manner and are accurate.
  6. Monthly checking of assigned vendors, and follow up on open items, ensuring prompt clearance of advances, and escalation of problematic issues.
  7. Maintain daily balance book to support petty cash and ensure reorder of cash is done in a timely manner.
  8. Ensure that all accounting documents, HR and Admin documents are maintained and kept in a proper manner, filling all document in line with department filing system regularly.
  9. Retrieval of documents and assisting with audits when required.
  10. Maintain employee attendance and leave records and communicate directly and in coordination with Human Resources in Amman for all related to HR and Admin.
  11. Generate and prepare administrative, HR and Finance reports reflecting all cash receipts payment and expenditures as required.
  12. Assist in administrative, HR and Finance tasks, including coordination of documents for authorizations and signatures.
  13. Perform other duties as assigned.

Education & Experience:

  • Bachelor’s Degree in accounting, economics, or university degree, with two years of working experience; or High school diploma with a relevant financial qualification and four years of working experience in finance/ accounting and administrative experience.
  • High level of computer literacy is required computerized accounting systems. Good knowledge of MS office, specifically EXCEL
  • Ability to prepare clear and concise reports and to analyse and interpret source information and data.
  • Knowledge of publicly recognized accounting systems (SAP, ATLAS, Oracle, etc.), software and procedures are a distinct advantage.

Languages:

Thorough knowledge of English and Arabic (oral and written)
