We are seeking to fill the position of Site Maintenance Assistant G3, based in the MSD Division of our Headquarters in Rome, Italy.

Our Facilities Management Unit of the Management Services division, based in Rome, Italy, supports WFP colleagues in HQ and globally for the provision of guidance, oversight, and support for the management of building facilities.
JOB PURPOSE
The Site Maintenance Assistant will report to the Facility Management Engineer and will be expected to perform a variety of site maintenance tasks to support a safe, comfortable, and reliable working environment. The duties include but not limited to: painting, minor civil and building constructions/repairs, installation, assembling/disassembling of equipment/furniture, portering and cleaning services, monitoring of workshop devices, materials/equipment, data entry in internal systems/databases, preparation of routine reports, general support in the planning, execution, and evaluation of preventive maintenance works, etc. When required, the selected incumbent will be involved in performing works that are required to complete or improve the work of external contractors, to reach the desired quality. This position requires a good physical fit to lift and handle heavy items and work in all types of weather conditions wearing protective clothing.
The Site Maintenance Assistant will be required to have good general repair skills and demonstrate good organization, problem-solving, communication and attention to detail skills, with the ability to work well with others to deliver effective service.
KEY ACCOUNTABILITIES (not all-inclusive, nor exhaustive)
- Plan, coordinate and provide a variety of site maintenance and installation works, to ensure preventive maintenance (e.g., for generators, water heaters, water pumps, etc.) is carried out regularly ensuring well-functioning equipment.
- Coordinate and/or provide portering and cleaning services (e.g., moving assets, reorganizing/installing workstations, assisting in setting up conference/meeting/event locations, removing waste materials, emergency cleaning, etc.) to support an organized and safe work environment.
- Perform regular and ad hoc installations, repairs, and maintenance of plumbing systems and components to ensure all installations meet established safety standards.
- Assist in maintaining accurate inventory records through physical checks and maintenance of lists/database, and arrange disposal of identified equipment and materials, strictly following WFP assets management guidelines.
- Compile and provide accurate reports on works undertaken, services provided, materials procured and used for installations/repairs including accurate generator fuel logbooks, to support accurate accounting and enable efficient planning for future works/services.
- Provide technical guidance to external contractors during specific maintenance schedules, to enable efficient and cost-effective services.
- Support supervisor in evaluating installation/repair works, compare prices of materials, and contribute to planning of future preventive maintenance works, to contribute to efficient and cost-effective site maintenance service
SPECIFIC POST REQUIREMENTS (As required by the Hiring Manager)
Essential:
- Experience performing civil and building maintenance works of various natures such as painting, small construction (drywall, false ceilings,) etc.
- Ability to provide technical guidance to external contractors to enable efficient and cost-effective services.
- Good knowledge of materials, activities and processes used to build and maintain civil works, including the safety procedures and best practices.
- Good communication, customer service and organization skills.
Desirable:
- Experience supporting the monitoring of work status/contracts with timely and accurate data entry/update in internal systems/databases
- knowledge of a Facility Management System (CAFM) such as Archibus Software, etc.
STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE
Education: Completion of secondary school education.
Language: Working knowledge (proficiency/FAO level C) of English. Fluency in Italian is required
Experience: Three or more years of related experience in site maintenance and record keeping procedures
