JOB SUMMARY:

Assists the Country Office Finance team on day-to-day operations of the accounting finance function, including Costpoint system processing, monthly closing process, Finance verification and review, internal controls, accruals, AR/AP, quality data entry, main focal point on preparing all payments, Bank and COH reconciliation preparation, Maintaining daily TMS treasury system and office safe reconciliation

MAIN TASKS AND RESPONSIBILITIES

  • Assist in payments preparation and writing checks.
  • Prepare the monthly finance scanned copy with all related appendixes.
  • Responsible of entering data to the Accounting System (Cost Point) on daily basis under the direct supervision of the FAC, quality and attention to details are required.
  • Assisting the FAC / Senior Finance Officer to provide the financial monitoring and support for several IMC multi-country projects.
  • Support SFO on reviewing the monthly Sub-partner’s reports, accruals, reconciliations of backups prepared by each partner and submission for HQ review and approval.
  • Maintain and update finance department backups on shared network and cloud Office 365 servers.
  • Ensure payments backup are complete and following HQ requirements and policies for in country and HQ review.
  • Assist in Test of Transaction (TOT) issues and send them to Auditor.
  • Assist program and operation staff with expense claim calculation, clearance and complying with grants related matters.
  • Coordinate with international and national team on arrival dates to ensure monthly payroll receipt before departure dates and distributing monthly local pay for Int. Staff.
  • Maintain the filing system for the Finance Department (filing and file listing on office 365).
  • Maintain the appropriate backup (translations, dates, stamps, etc.) for the Payment Voucher.
  • Main focal point on preparing all payments and bills ready for payment on the online banking portal and coordinate with signatories for authorization and approvals on the documents.
  • Handling the cash and bank transactions and custodian on the safe for cash transactions.
  • Support SFO on monitoring bank balances and make sure appropriate funds available in IMC accounts.
  • Maintaining daily TMS (Treasury Management System) portal reports on IMC as part of IMC cash management system.
  • Assist the team with Monthly close process (Accruals, Amortization, Pool and miscellaneous account clearance).
  • Bank and COH reconciliation, office and Service staff Allocation preparation.
  • Perform other duties as assigned by the supervisor.

MINIMUM QUALIFICATIONS:

  • Bachelor’s Degree in finance / Accounting. Or equivalent relevant education and experience may be substituted as appropriate.
  • At least 0 – 1 years’ experience. Preferably with International NGOs.
  • Good written and verbal communication skills.
  • Analytical approach, Strong attention to details and numbers oriented.
  • Team player with excellent interpersonal skills.
  • Problem solving, planning and decision-making skills.
  • Good time management skills and must be able to prioritize different tasks.
