HR Assistant – Amman Office
Action Against Hunger(ACF) is an international non-governmental organization working in more than 40 countries in the fields of nutrition, food security and livelihoods, water sanitation and hygiene, and care practices. ACF is looking for its program in Jordan for Human Resources Assistant
Workplace: Jordan – Amman with field visits and support for other ACF offices will be required
Overview: The HR Assistant is responsible for supporting the HR Department in Coordination Office in day-to-day HR & administrative functions of the Action Against Hunger.
Responsibilities:
Objective 1 : Follow up on the administration of human resources in Amman office
- Update HR database and prepare all documents needed for the payroll (leaves, salary advances …).
- Follow up on actions needed as per contract management process and ensure proper alert on end of contract dates to managers.
- Ensure all performance appraisals and plan of action are carried out on time.
- Support in Medical insurance management.
- Support in On-boarding & Off-boarding process.
- Manage the monthly closure for “GTA” timesheet system.
- Consolidate and report HR requests from staff to supervisor
- Support in training process when needed (organize training and workshops, travel arrangements, attendance, etc, …)
- Support in recruitment process when needed.
- General office and guest house management (supplies, cleaning, …)
Objective 2:Filing, Archiving ,and E-archiving:
- Create and control electronic archive for the field by scanning all HR documents and storing them in designated places on ACF network.
- Maintain an efficient filing system to make updating and retrieving HR documents easier. (Easy access filing system).
- Follow up and update the e-filing system for HR personnel files, staff development records.
- Follow policies and confidentiality dictations to safeguard data and information
- Conduct routine verification to ensure integrity of electronic archiving system, in collaboration with HR Senior Officer in Amman.
- Prepare files for auditing purposes, and track materials removed from personnel files in order to ensure that borrowed files/document returned.
Objective 3:General Responsibilities:
- Maintain the confidentiality of all sensitive HR information at all times.
- Commit and comply with the organization gender, age and diversity principles & policies (working with people, communication).
- Support HR department functions in case of staff absence and gap filling.
- Support on the implementation and the promotion of gender, age and diversity principles through daily activities and or through the management of their teams (Managing performance & development
- Ensure compliance with the mission & HR rules and regulations and policies
Skills
- Strong MS Office skills and the ability to use technology to collaborate across a global organization.
- Good understanding of Jordan legal and administrative environment.
- Good interpersonal, organizational, prioritizing and communication skills.
- Capacity of work, able to overcome stress and work under pressure, with high degree of flexibility
- Professional, autonomous, organized, mature, self-motivated.
- Knowledge of local cultures and ability to work in a multi-cultural environment.
- Ability to work in fast-paced environment and handle a high volume of requests in an effective and timely manner
- Sense of confidentiality.
- Strong sense of personal integrity.
- Must be dependable and able to follow instructions.
Education:
BA degree or Diploma in Business, Public Administration or related discipline. HR Certification preferred.
Type of professional experience requested:
- 1 year experience in human resources or administrative management, preferably with an INGO.
- Related internship or volunteering experience will be a plus.
Language: Excellent written and spoken skills in Arabic and English.
