الوصف الوظيفي
- In-charge of office operations and administration management including facilities, utilities, billings and handling legal documents of the company.
- Manages contract and price negotiations with relevant suppliers, service providers and office lease.
- Plans and coordinates administrative procedures and systems and designs ways to streamline processes.
- Monitors inventory of office supplies and procures replenishment with attention to budgetary constraints.
- Manages vendor registration for corporate organizations and government entities required for enrollment stage.
- Manages the logistics requirements of each course on a weekly basis, i.e. catering services, amenities, curriculum materials, training room and break room setups, updated rosters, and assistant briefings.
- Manages assistants’ programme by updating databases, reaching out to assistants to confirm sign-ups, plotting assistants’ final roster and maintaining good relationships with them.
- Ensures onboarding letters and welcome emails are sent out to the respective participants and attends to any logistics and course management queries.
- Updates post-course database, reviews leaders and participants feedback, and maintains reports against the previous course.
- Maintains CTI Dubai License Fee reporting and updates courses on a monthly basis.
- Manages monthly invoices of leaders, suppliers and consultants.

- Proven experience in administration and office management role
- Knowledge of office management systems and procedures
- Proficiency in MS Office Suite
- Proficiency in Google Suite
- Attention to detail, analytical, and problem solving skills
- Excellent written and verbal communication skills
- Excellent organizational and multitasking abilities
- Time management skills and ability to prioritize tasks by deadline and organize a worklist
- Bachelor degree; additional qualification as a skilled Office Administrator or Executive Secretary is a plus
- Bilingual – Arabic & English Speaker
