Logistic Intern
Action Against Hunger is an international non-governmental organization working in more than 40 countries in the fields of nutrition, food security and livelihoods, water sanitation and hygiene, and care practices. ACF is looking for its program in Jordan for Logistic Intern
Work place: Jordan – Irbid
Core Functions/ Responsibilities:
- Under the overall management of the Logistics Officer and General Services Senior Officer the intern will provide support to the Logistics team at Irbid and Azraq in managing the different tasks that are fallen under the department responsibilities.
- Provide general support to the work of the team; assist in managing the fleet, stock, facilities, archiving (soft and hard copies), in addition to drafting fleet reports, participating in meetings and provide report and minutes when needed.
Specific tasks per thematic areas:
1) Fleet management
Movements plan:
- To supervise the drivers of the base.
- To plan movements of vehicles on daily / weekly basis
- Vehicle’s needs:
- To gather the vehicles needs at base level.
- Vehicles maintenance:
- To follow up with drivers in the base regarding the maintenance needs of the vehicles , and communicate those need to the logistics officer, or by delegation to the person in charge of the fleet at mission level.
- To get feedback from the drivers regarding the maintenance done by the car rental company, and to share them with the logistics officer.
Fuel tracking:
- To make sure that each vehicle have a fuel card
- To gather all fuel data from the log book in the fuel data sheet, and to crosscheck with fuel tickets (invoices).
- Reporting:
- To follow up on the drivers absences and to inform the logistics officer, or by delegation to the person in charge of the fleet at mission level.
- To be the focal point in case of car accident and ensure that drivers are reporting all accident/ scratch and poteen police report
- To report the vehicle condition monthly with a random check
- To report about general fleet situation to the logistics officer
2) Stock management:
- Ensure that all items are stored in a way to be counted, and packed correctly respecting ACF standard.
- To assist in the overall physical quarterly inventory to prepare the yearly inventory report.
- To archive all documents IN and OUT properly, in order to ensure complete tracking of all stock movements.
- To assist in receiving goods from suppliers and ensure that all necessary paperwork are archived.
- To ensure that all the new received items are added to the inventory list.
- To be the focal point between Field office and Coordination office regarding all items/document transferred between the two offices.
3) Facilities Management: with the support from the logistics officer the intern will support:
- To ensure the Office are in good condition and to act on requests regarding maintenance / problems.
- To ensure supply of water, cooking gas and fuel (heating systems) for all premises.
- To follow up and draft the needed stationaries for the office.
- To ensure basic security of the premises is maintained (doors and locks, fire extinguishers, emergency numbers…)
- To ensure proper repairs are done, either directly or through contractors.
- To handle the follow up of all maintenance tasks due to the landlords, whenever relevant and appropriate.
- To draft the required office supplies, cleaning materials and tools list.
Learning opportunities for the intern
- General understanding of the humanitarian sector experience and the role of different humanitarian actors including international and national NGOs and local actor in the humanitarian context
- General understanding of Action Against Hunger mission in Jordan.
- General understanding of the coordination mechanisms between humanitarian actors in the sector.
- Insight and hands-on experience in Action Against Hunger Logistics management.
- Working experience in a multicultural environment.

The intern is also expected to strengthen his/her knowledge and understanding of Action Against Hunger implementation guidelines by reading project documents and related SoPs. The intern will respect ACF internal rules and regulations, by-laws, and policies, and will adhere to the Code of Conduct.
Skills
- Diploma / Bachelor’s degree – Fresh graduate.
- Good oral and written communication skills in English.
- Creative open-minded team player with strong initiative and willingness to learn.
- Ability to work in a multi-cultural working environment.
- Priority will be be for applicants from the area of implementation.
