THE ROLE AND ORGANIZATIONAL CONTEXT

The Executive Board is WFP's supreme governing body comprising 36 States Members of the United Nations or Member Nations of the Food and Agriculture Organization of the United Nations (FAO), the Board provides intergovernmental support, policy direction and supervision of the activities of WFP.

The Executive Board Secretariat is the interface between WFP's Executive Board Members and Observers, collectively known as the WFP Membership, and WFP management. Reporting to the Deputy Executive Director, the Board Secretariat facilitates the interaction between the Executive Board and WFP Management; provides governance services to the Board and its Bureau and conducts annual analysis on the performance and support provided in completing the programme of work of the Board. It manages the relationship between the Executive Board and other governing bodies in Rome and New York; fosters exchange of information with Permanent Representations in Rome; collaborates with other Rome-based organizations in fields related to governance, conference, and language services; facilitates the work of the Independent Oversight Advisory Committee (IOAC).

The EBS Digital Governance Services are delivered seamlessly through the Executive Board Website which consists of several digital products to support the Executive Board Services. These products as well as new ones are continuously improved and need to be integrated across all EBS processes and platforms and are part of the greater Digital Transformation Portfolio that is also managed by EBSD. The Digital Transformation roadmap is expected to last 4-6 years.

Within this context, the position of Project Coordinator of Information Services will coordinate the projects that are pertinent to the transition to a more customer-centric and service-oriented offering.

As all digital governance services are delivered through the Executive Board Website, the position will also have to update and maintain the site documents and content, analyze new requests for publication, manage the website statistics. The staff member will report to the Executive Board Head of Digital Governance Services.

KEY ACCOUNTABILITIES (not all-inclusive)

As a Project Coordinator:

  • Coordinate the portfolio of work overseen by the Service Management Task Force.
  • Coordinate and work with the unit focal points to make sure tasks are completed in a reasonable time.
  • Coordinate the work with the Rome Based Agencies (RBA) Advisory Group on Language & Conference Services.
  • Contribute to the design and continuous improvement of business services including the capture, analysis and drafting of business process diagrams, flowcharts, data models, user experience designs, storyboards.

As an Information Services Coordinator:

  • Classify Executive Board documents based on EBS Taxonomy.
  • Coordinate and support internal users in creating Agenda Items for Executive Board documents for the website.
  • Provide editorial guidance, support and quality control over articles, documents, and content.
  • Propose changes and additions to the website content as required.

QUALIFICATIONS AND KEY REQUIREMENTS

Education:

You have:

  • Advanced university degree in Language, Linguistics, Literature, Communications, Business and Economics, Journalism, Library Sciences, International Affairs, Social Sciences, or similar relevant field.

Experience:

You have:

  • A minimum of three years of progressively responsible experience in Project Coordination within multilingual documents and digital content management, preferably with Drupal, data analysis and Google Analytics. Experience in working in a multilingual context creating services and products, preferably within service design and management, or management, design, distribution, or marketing of products and services.

Language:

You have:

Fluency (level C) in the English language. Intermediate knowledge (level B) of a second official UN language: Arabic, Chinese, French, Russian, Spanish, and/or Portuguese (a WFP working language).

MORE ABOUT YOU

  • Knowledge of information management best practices, techniques, and processes specifically for Document, Content Management; Information Architecture and taxonomy management.
  • Strong written and oral communication skills (at least in one of the UN Languages), including analysis and writing skills.
  • Able to supervise and support more junior and/or less experienced members of the team.

TERMS AND CONDITIONS

A Limited Fixed-Term Appointment (LFT) position is a non-mobile staff appointment in the international professional category for a limited period of up to 2 years.

WFP offers an attractive compensation and benefits package in line with ICSC standards (http://icsc.un.org) including basic salary, post adjustment, relocation entitlement, visa, travel and shipment allowances, 30 days’ annual leave, home leave, an education grant for dependent children, a pension plan, and medical insurance.

The selected candidate will be required to relocate to Rome, Italy to take up this assignment.
