ORGANIZATIONAL CONTEXT

We are seeking to fill the position of Business Support Assistant with the Human Resource Talent Acquisition team based at our Country Office in Maputo, Mozambique. We are looking for a dynamic, motivated team member who is keen to bring their skills and knowledge to the context of WFP and contribute to strengthening the Talent Acquisition and Recruitment functions in WFP. You will receive close guidance from experienced colleagues, while getting opportunities for exposure and growth through supporting in the roll-out of Talent Acquisition activities and developing new tools and assets to strengthen the Human Resource Functions.

JOB PURPOSE

To deliver a full range of HR support services to ensure accurate implementation of WFP policies and procedures and facilitate the effective functioning of a client-focused and strategy-oriented HR services.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate/ university degree in Human Resources, Psychology, Business Administration, or related field is a plus.

Experience: Six (6) years or more of professional experience in the related area. A strong background and passion for talent acquisition best practices and sourcing.

Knowledge & Skills:

• Expertise in outreach and sourcing talent.
• Experience using LinkedIn and job boards to source candidates.
• Good understanding of key HR principles and talent acquisition best practices including CV screening, candidate engagement.
• scheduling assessments with candidates, interviewing, onboarding. Excellent inter-personal skills and flexible attitude towards shifting tasks and responsibilities.
• Ability to create trust with team/employees and deal with confidential information in a professional manner.
• Demonstrated ability to deliver timely high-quality deliverables including writing reports and deduct lessons learned/improvements.
• Proficient use of Applicant Tracking Systems (e.g. Successfactors, etc.).
• Proficient user of data analysis tools such as MS Excel and other MS Office tools.

Languages: Fluency in both written and oral communication in Portuguese and English languages.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

• Has gained experience of WFP HR Services operating standards across a range of international humanitarian contexts
• Has provided training to new staff members within area of expertise and supported with ad-hoc queries

KEY ACCOUNTABILITIES (not all-inclusive)

1. Provide assistance on a wide range of complex HR queries and follow up actions, to ensure consistent and high quality HR services are delivered to clients.
2. Allocate responsibilities and support on-the-job learning and development of junior support staff, to ensure they have adequate knowledge of HR systems and procedures required to perform their duties and subsequently can contribute to the provision of effective HR services.
3. Manage allocated recruitment actions to ensure consistent high quality and timely implementation of approved recruitments.
4. Carry out sourcing and outreach initiatives to attract passive/active candidates with a special focus on gender.
5. Ensure vacancy announcements issued are gender-neutral, attractive, and inspiring to applicants.
6. Support employer-branding events like career fairs, employability trainings, social media content development among others.
7. Effectively communicate with applicants about the vacancy announcement throughout the selection process.
8. Ensure full administrative support is provided with the ongoing recruitment processes (scheduling tests or interviews, reporting).
9. Ensure timely and qualitative longlisting of candidates for open VAs under the leadership of the Head of Talent Acquisition team.
10. Extract and compile HR data on staff recruitment and selection, contractual conditions, entitlements to support analysis and reporting needs.
11. Use HR management systems for entering and updating a variety of HR data including reporting and monitoring various deadlines.
12. Perform other related tasks as required.
