SPECIFIC JOB INFORMATION
The Press and Cultural Affairs Officer will work under the management of the Political Counsellor, but also responds to the Ambassador who is the head of the Political Department. This department is primarily concerned with working on the Dutch policy priorities in the field of political cooperation, human rights & SDGs and culture in KSA. The political department works in a constructive way with Saudi stakeholders in this field and looks for opportunities as described in the Embassy Strategy document 2021-2024.
Other important duties relevant to organizational and logistical support activities include:
- Provides secretarial/administrative support for projects in fields identified in the annual planning cycle. This can be related to culture, public diplomacy or human rights / SDGs.

- Organize events, incoming visits and missions from the Netherlands

JOB TASKS
- Responds to a wide-ranging variety of questions, requests, and telephone calls related to the political (including PD and culture) department and takes care of correspondence
- Provides suggestions to MT and colleagues on events and suggestions for visits and PD / COM and makes preparations accordingly
- Takes minutes of meetings
- Takes care of the operational part of the projects for the four Embassy budget lines in cooperation with the financial department of the Ministry of Foreign Affairs in the Hague
- Provides general administrative, logistical and organizational support (including official visits, incoming and outgoing missions, official trips, and working visits)
- Creates, updates, and maintains work files
- Maintains and update database of archiving system
- Initiates virtual meetings via MS Teams, Zoom, etc. and arrange/coordinates webinars
- Maintains internal and external contacts regarding:
- the implementation and progress of tasks
- providing explanations and support
- exchanging information

KNOWLEDGE AND SKILL REQUIREMENTS
- Skilled in Windows and MS office programs such as Word and Excel, Outlook, and social media (Twitter, Instagram)
- Proficiency in secretarial work and general administrative procedures and regulations
- Skilled in translation and interpretation (Arabic-English/English-Arabic)
- Experience in drafting Note Verbales and Diplomatic Notes
- Experience in using MoFA Marasim website
- Skilled in receiving and speaking to staff and third parties
- Skilled in collecting and interpreting data and providing management information
- Skilled in external communication, both oral and written, in English (and preferably) Arabic language.
- Skilled in networking and initiating outreach with relevant counterparts in the Netherlands and Saudi Arabia.

LEVEL OF EDUCATION/ADDITIONAL TRAINING AND KNOWLEDGE
- University graduate
- Relevant experience in management support position, preferably for a MINIMUM of 3 years.
- Fluent in spoken and written English, (ideally) good command of spoken and written Arabic
- Excellent computer and social media skills
- Excellent planning and organizational skills
