الوصف الوظيفي

· Oversee the daily office operations, administering and overseeing the office administration processes to ensure the optimal office performance.

· Manage the Office agenda, diary, correspondences and emails.

· Ensure all correspondences and relevant materials are produced in a timely and accurate manner.

· Book meetings, plan events, organize and prepare travel itineraries.

· Ensure effective liaison with the executive apparatus of the organization and its executive leadership through regular correspondence, arranging meetings and prepare briefing materials and other related documents to be presented to the superior.

· Coordinate, attend and take minutes of meetings and any other relevant meetings and follow up on action points from meetings on behalf of the Chairman.

· Professionally greet and receive visitors

· Receive and screen communications including telephone calls and e-mail.

· Partake and support in the planning and facilitation of board meetings.

· Maintain the physical and electronic archives and filing system including confidential records

· Prepare and compile confidential documents, and deliver comprehensive and precise briefing to the superior with regards to their content.

· Prepare and present timely and comprehensive reports and presentations.

· Maintain an adequate inventory of office supplies and operate standard office equipment.

· Ensure proactive and effective measures, actions, and controls are in place to mitigate risks and assure compliance with relevant approved policy and procedures.

· Effectively liaise with relevant internal and external concerned parties to assure the timely and optimal execution of assigned tasks.

  • Perform other related duties as assigned by the superior.
