JOB PURPOSE
Under the overall guidance of the Supply Chain Manager the supply chain assistant will assist in sourcing and purchasing goods, works and services to support our organization's operations. This role requires strong communication skills, attention to detail, and the ability to work independently and as part of a team.
MAJOR RESPONCIBILITIES
- Help with the request for quotation to the suppliers, receiving responses from suppliers, bid analysis and procurement committee meeting minutes, purchase orders and contracts, payments to the suppliers and contracts.
- Assist with implementing the procurement process as per WV and Donor regulations and processes, included arranging and facilitating various meetings (procurement committee meetings, meetings with operations staff, meetings with suppliers and service providers, other internal and external meetings).
- Help to maintain purchase requisition database and other procurement databases in provision System.
- Maintain appropriate files and records, both soft and hard copies agreements, to ensure that procurement process, decisions, contractual agreements are accurately documented for accountability and audit purpose Help to coordinate with requesters and make sure the right materials needed help to ensure timely delivery of goods and services to requesting departments/projects.
- Perform other duties as assigned by supervisors (e.g attend meetings, visit suppliers, cover other staff members as needed, attend trainings/WV events, etc.).
QUALIFICATIONS FOR THE ROLE
Required Education, training, license, registration, and certification
- Bachelor Degree (preferable in Business Administration or relevant field of studies)
Preferred Knowledge and Qualifications
- Experience in administration and support responsible role
- Personal Management including initiative, self-motivation and direction
- Ability to set priorities and undertake new tasks quickly
- Ability to interpret and explain complex formal documents and systems and assist others to apply them
- Strong task management skills including attention to details.
- Advanced Computer skills, Word, Excel, Access, Outlook)
- Knowledge of local Customs and Tax regulations
- Strong Analytical skills
- Good English communication skills (oral and written)
