JOB PURPOSE
To deliver a wide range of business support processes and activities for a specific professional area of work, to facilitate effective service delivery.
KEY ACCOUNTABILITIES (not all-inclusive)
Under the overall supervision by Head of Area Office Taunggyi, the incumbent will perform the following duties: –
- Initiate and process administrative actions such as those found in HR, Travel, procurement, and disbursement.
- Assist in preparation of mission visits, mission schedules, and meeting arrangements.
- Necessary arrangement of the travel for all staff such as transportation arrangement including air travel, and accommodation etc. ,.
- Maintain administrative control records, such as for logbooks, expenditures, travel and insurance.
- Monitor vehicle log-sheet, fuel consumption, and submit monthly admin closure package to CO.
- Arrange/organize meeting/training venue, accommodation, meals and transportation.
- Prepare and send documents related to danger pay, staff attendance, leave records and other as required.
- Prepare, request and submit monthly operational cost to finance unit, coordinate with relevant personnel to receive timely approval.
- Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.
- Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
- Identify and report simple discrepancies in statistics and data, such as missing information, to senior staff.
- Take responsibility for data integrity to facilitate availability of accurate information in corporate systems.
- Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards.
- Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.
- Regular check updates the office inventory lists and report to relevant department.

STANDARD MINIMUM QUALIFICATIONS
Education: Completion of Bachelor Degree.
Experience: Two or more years of experience in general administrative work and past UN experiences will be an asset.
Knowledge & Skills:
- Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
- Knowledge of work routines and methods in order to complete processes under minimal supervision.
- Uses tact and courtesy to give and receive information to a wide range of individuals.
- Ability to identify data discrepancies and rectify problems requiring attention.
- Ability to offer guidance or basic on-the-job training to more junior staff.
Language:
Fluent in written and oral skills in both English and Myanmar in the duty station’s language, if different.
