BACKGROUND AND PURPOSE OF THE ASSIGNMENT
The Logistics Service Branch (SCOL) is a core part of the Supply Chain Division that focuses on providing a range of support activities to field logistics operations. SCOL's objective is to enable country offices to deliver humanitarian assistance with the preferred and most appropriate transfer modality, whether cash or in-kind assistance, ensuring cost-effectiveness while not compromising quality and delivery. At the onset of an emergency response, SCOL supports operations with cross functional supply chain coordination, surge capacity, information management, and coordinating the deployment of equipment and requests for resources.
Under the overall management of the Chief of Logistics Service, the Logistics Project Coordinator will:
- Develop, implement and monitor the Global Supply Chain Performance Dashboard that tracks the Key Performance Indicators (KPIs) related to Logistics Services;
- Support the scoping, creation and roll-out of WFP’s Warehouse Management Standard in the field/country offices; and,
- When needed, deploy in emergencies to augment Logistics capacity of a response team.
KEY ACCOUNTABILITIES
- Develop a way of working on projects from concept to reporting, to ensure consistent approach to concept and proposal creation, grant management, and reports. This must include review of roles and responsibilities and establishment of accountabilities through tools like RACI.
- Contribute to the development and implementation, when necessary, of frameworks and processes aimed at standardizing and streamlining the project management approach within SCOL.
- Through the Global SC Performance Dashboard, monitor and track on a monthly basis the progress of the divisional workplan by highlighting blockages and overall performance to teams and management.
- Design and road test standard documentation and other inputs to proposals, reports, and other key messaging to ensure SCOL’s approach and activities are properly and consistently represented.
- In coordination with the core team, support the standardization of Warehouse Management across offices by identifying best practices in cargo receipt, storage, disposal, etc. applicable to several contexts and maturity of WFP operations.
- Support as needed on the yearly Divisional Workplan and Management Planning Processes.
- Identify possible bottlenecks and plan for contingency planning actions.
- Facilitate regular coordination meetings within and between Working Groups to align on objectives, activities, timelines and outputs.
- Support knowledge management reviews and sharing of best practices
- Contribute to internal communication and dissemination of progresses
- As part of surge support of Logistics, deploy in emergencies to augment capacity of a response team.
- Others as required by the Chief of Logistics.
QUALIFICATIONS & EXPERIENCE REQUIRED
Education:
You have:
Advanced University degree preferably in Project Management, Supply Chain Management, Economics, Business Administration, Logistics, or other related field, or First University degree with additional years of related work experience and/or training/courses
Experience:
You have:
- A minimum of 5 years of postgraduate professional experience in an international context. Experience with humanitarian or development operations, project management and supply chain operations.
- Experience with demonstrated thorough knowledge of WFP Supply Chain, Logistics, UN system, project management and similar business areas.
- Experience in managing logistics projects, specifically in a humanitarian setting and with focus on emergency operations;
Knowledge and Skills:
You have:
- Ability to develop new strategies and innovative projects
- Good analytical abilities, both quantitative and qualitative: ability to perform advanced analysis in excel and produce high-quality written materials, including PowerPoint presentations as well as text documents.
- Excellent networking and communications skills to ensure participatory collaboration and buy-in from all staff involved across departments and including the field.
- Time management skills with an ability to plan ahead, anticipate requirements, problems and obstacles, and an ability to juggle competing priorities successfully, and to work on tight deadlines.
- Self-motivated and able to work with a certain degree of autonomy and/ or in team.
- Sound knowledge of Microsoft Windows, MS Excel, MS Word, MS PowerPoint and other related software;
Language:
You have:
Fluency in English. Intermediate knowledge of a second official UN language is a great advantage.
