What will you do in this position?

To provide specialized support functions and/or supervise staff performing standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities

How can you make a difference?

1. Support procuring and distributing fuel to Bilateral Service Provision (BSP) Partners, including UN agencies and I/NGOs.
2. Provides support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of fuel and Non-food items to Partners.
3. Provides information management, document filing, administration, unit travel support, Service level agreement extensions, and small quantity fuel weekly reports.
4. Produces and/or contributes to reports (weekly reports, financial closure, physical inventory, transport performance, sitreps and briefs) and ensure information accuracy in support to informed decision-making
5. Support timely ordering and delivery of fuel and supplies to BSP Partners and destinations and ensures timely filing and delivery.
6. Support in managing logistics vendors’ contracting activities, including performance monitoring and assessments.
7. Responds to technical queries/requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all inquiries with a high standard of a client service mindset.
8. Assists with budget preparation, monitoring, and revision for all delivery modalities, ensuring adherence to relevant procedures and compliance with corporate standards, including lessons learned from existing practices.
9. Monitor inventory management processes to track trends and account for the inventory status from source to beneficiary, as required.
10. Assists with operational demand analyses for fuel, assessments, and operational planning for all delivery modalities and fuel accounting data quality and integrity.
11. Process documentation for the execution of logistics operations (e.g. customs clearance, invoice verification), take appropriate actions to resolve operational issues escalating various issues to the supervisor.
12. Ensures timely review and processing of the invoices from suppliers for the commodities and services delivered.
13. Provides guidance to other team members in order to assist them in completing standard tasks to agreed standards and deadlines.

In addition to the above, below are more specific accountabilities:

⦁ Creates purchase requests, ZINT purchase orders, and micro purchase orders as required in WFP cooperated System “WINGS” upload supporting documents to ITS platform as required, including follow-ups on timely payments
⦁ Maintains a proper fuel tracking dashboard for all fuel requests and payments and creates manual PFI and FI once delivery is completed.
⦁ Maintains service level agreement and Contracts tracking sheets and, in agreement with Supervisor, initiates reviews, amendments, and extensions, as needed.
⦁ Support the LESS ( logistics executive system ) fuel project entries if needed, oversee the entries from the other LESS team, and ensure proper tracking and documentation.

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Experience: Six years of progressively responsible experience in supply chain systems, logistics, and transport.

Knowledge and skills :

⦁ Experience maintaining corporate systems and running queries on ongoing shipments, pipeline information, insurance claims, and food stock.
⦁ Experience in administering third-party service providers’ contracts.
⦁ Experience in compiling contract documentation.
⦁ Experience in contract execution.

Language: Proficient in oral and written communication skills in English and Ukraine.
