KEY ACCOUNTABILITIES (not all-inclusive)

Under the direct supervision of Program Associate (OIC) in Pangkham and overall supervision of Head of Area-Office (Lashio), the incumbent will perform the following duties:-

Administration

  • Extract and input data from various sources in administrative, human resource, procurement and WING II entry for each travel and SES for local procurements and other WFP corporate systems;
  • Initiate the process of administrative actions on travel, procurement and disbursement including utilities maintenance services, office supplies.
  • Assist in vehicle control and management including service record of vehicle repair and maintenance expenditures and allotments through WFP corporate systems.
  • Prepare monthly Admin closure and Asset Inventory report, monthly staff leave and attendance record and monthly salary request for the staff.
  • Assist in preparing of staff contract extension process and ensure proper filling system for all documentation of the office.
  • Design and update charts, tables, hard copy, and computer resident forms; initiate updating and tracking computer assisted processing of administrative actions as an ICT alternative person.

Travels

  • Assist in preparation and interpretation of office correspondences, reports and WA Travel Authorization request process in Chinese version including other forms of finance for vehicle fuel purchase record and tables as required.
  • Prepare staff’s Travel related documents and provide assistances to office staff such as travel expense claims in line with administrative rules and procedures.

Finance

  • Extract and input data from various sources in financial or accounting systems and respond to accounting, budget or financial queries.
  • Prepare cash reconciliations, conduct analysis of general ledger accounts, prepare Sub-imprest replenishments and facilitate the documentation process between Country office Finance and field office.
  • Maintain proper control over various financial records such as commitments and expenditures against budgeted amounts while initiating actions related to general financial information, travel payments, and procurement transactions.
  • Verify vendor claims for accuracy and conformity with WFP finance rules and regulations; ensure purchases/services are properly authorized; and ensure timely recording and processing of vendor invoices in the Programme’s information system.
  • Provide information related to financial transactions and assist in the preparation of budget, financial reports, statistical reports and other reports as required.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
Experience: Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Knowledge & Skills:

• Knowledge of specialised common business practices and methods, gained through relevant technical training and experience.
• Ability to develop and maintain relationships with a range of individuals in order to provide a high quality support service.
• Ability to carry out basic data analysis and independently rectify problems requiring attention.
• Ability to monitor and record financial transactions.
• Good communication skills required to give and receive information and work with a variety of individuals.
• Ability to maintain confidentiality.

Language:

Fluency in both oral and written communication in Myanmar, English and Mandarin Chinese is required while communicable in local dialect at the duty station will be an added advantage.
