Job Description and Qualifications

POSITION SUMMARY

Provide document control / supplier data management service as part of the Air Products regional Document Control Team, supporting one of the world’s largest Green Hydrogen facilities to be built in the Kingdom of Saudi Arabia. Ensuring competitiveness, successful project execution and productive internal and external interface.

Deliver and execute/implement document control plans and procedures, in compliance to the Air Products Standards to suit the project execution strategy and needs from both internal and external aspect. Provide accurate and timely document control / supplier data management input to the project execution team and work within the project applicable procedures and process workflows.

To fulfil the requirements of the position the incumbent must develop collaborative working relationships with Global Engineering, Manufacturing, Technology & Equipment (GEMTE) team members, along strong business leadership with all internal functions.

As Lead Document Controller, you will:

  • Provide DCC leadership role during the absence of the Document Control Manager (DCM) to ensure smooth operation of the entire Document Control Centre (DCC)
  • Provide valuable DC supports and inputs in the configuration and utilization of the Corporate Document Management System (including Supplier Data Tracking & Approval) Tool and functional discipline work processes to provide reliable and consistent project document management / supplier data services in support of the Execution and Engineering Teams to meet the project, regional/global project portfolio and business requirements.
  • Be motivated to help achieve an industry leading regional project Document Control / Supplier Data Management team responsible for all project execution/engineering/vendor documentation for projects executed in the region, between both internal and external parties, in accordance to approved AP work instructions or project specific requirements in the project contract.
  • Undertake daily coordination and administration for the project Electronic Document Management System (EDMS) – e.g. OpenText and Aconex (including SharePoint)
  • Help maintain the capabilities of the regional Document Management team to ensure high levels of support to meet the business needs across the broad portfolio of offerings.
  • Provide close collaboration with and support across the other regional and global teams to ensure effective resource sharing, lessons learned, best practices and the development of appropriate work processes and procedures across the global execution teams.
  • Understand and apply the requirements for third party client approvals on projects as required.
  • Liaising with the project team, project management and site construction team daily.
  • Provide support and guidance to the Project Execution and Engineering Teams on the status of project document review/approvals, and overdue documentation.
  • Support the client and external vendors with the Air Products Document Management system tool and work process support as required.
  • Organize and maintain the project Master Document Register.

Minimum Requirements and Qualifications

  • Minimum 10 years’ Document Control experience and at least 5 years of experience on similar/Lead DC role. Sound knowledge, and proven skills and competencies in application of Document Control / Supplier Data Management principles, methodologies and tools, supporting all phases of project execution, within a large project-oriented EPC or Owner Organization. Must have a track record of maintaining and reporting accurate document / supplier data control information and providing guidance to the Project / Engineering management teams. Experience within an Oil & Gas, Chemical processing or related business and equivalent projects a further benefit.
  • Global Project Document Control Experience: Proven skills and experience of document control / supplier data management for projects on global basis, supporting projects executed by multiple engineering offices. Understanding of a variety of project types, structures including sale of gas (SOG), third party sale of equipment (SOE) and joint ventures.
  • Flexibility. Potential to travel internationally to other regional engineering offices as well as domestically to support project / organizational needs. Flexibility to work additional hours to meet project deadlines during periods of peak workload will also be required.
  • Determined, adaptable and resilient. Able to achieve success under significant pressure, evolving requirements, and conflicting priorities. The candidate should be self-motivated, diligent and accurate, able to work under pressure to meet project demands, and able to respond with urgency to solve problems as they emerge.
  • Culturally astute. Experience and ability to work with different cultures associated with multi-region project execution, and to therefore achieve success with a multi-cultural team. Experience of Customer and external stakeholder regional cultures, and ability to achieve success with those cultures
  • Relationship network. Established and proven internal relationships with key individuals in all teams in all regions, with the ability to build strong relationships to apply leverage to execute the project.
  • Core competencies: Detailed working knowledge of project document management tools and systems. Proven skills in document management coupled with strong teamwork skills and a broad knowledge of project execution / engineering organization structure and roles

As Lead Document Controller, you will have:

  • Minimum of 10 years work experience in Project Execution / Project Document Controls in a large-scale project
  • Experience in leading and training a group of Document Controllers and Project Administrators
  • Strong working knowledge of OpenText, Aconex, MS SharePoint is desirable.
  • Strong ability/capability in conducting different levels of trainings in the use of EDMS (Aconex)
  • Strong Document Control background covering the complete document life cycle at different stages/phases of the project
  • Ability to work within an established team to achieve targets and goals.
  • Strong organizational and time management skills.
  • Excellent knowledge and proficiency with the Microsoft office suite (Advance Excel, Word, PowerPoint, One Note) and Adobe Acrobat tools.
  • Excellent communication skills on both oral and written (English proficiency) is a must.
