ORGANIZATIONAL CONTEXT
This job is found in duty stations of Adama, Semera, Kombolcha, Gonder, jijiga, and Gambella. Job holders report to the Logistics Officer, a Head of Unit, or the designate.
At this level, job holders are expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices for all assistance modalities for both WFP and logistics common services. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff.
JOB PURPOSE
With the growing size of the WFP Fleet in Ethiopia, which is prompted by the upsurge in operations, Fleet operations have been decentralized to guarantee coverage of the country whenever and wherever transport challenges are faced. However, this decentralization of fleet operations brought another challenge in its management, especially in coordination of the fleet utilization, maintenance, spare parts inventory management, fuel, and many others. The incumbent, under the supervision of the Fleet Manager, Assist overall management of all Fleet operations, workshop activities and oversight of all Area Offices’ and Sub-Offices’ fleet/workshop assets and co-ordinate Fleet operations in accordance with the procedures, normative guidelines, and business rules as set by WFP.
KEY ACCOUNTABILITIES (not all-inclusive)
1. Carry out each trip the trucks are refuelled, and data recorded and same day report to supervisor.
2. Ensure that Drivers and Convoy Leaders carry out their duties effectively in accordance to their Job Descriptions.
3. Responsible to get all information from the driver and convoy leader after they return from trip and report to workshop supervisor.
4. Responsible for accident Management and report any accidents within 24hrs to all respective parties in accordance to WFP Normative guidelines.
5. Ensure that proper Workshop Administration, record keeping and vehicle History records and well maintained via the Fleet management System.
6. Ensure that timely accurate data is entered into the Fleet wave and FMS for the Repairs, Tyres and Stock Control Modules.
7. Responsible to ensure that all trucks Fuel record accuracy and report daily, weekly and monthly.
8. Ensure that all vehicles undergo regular scheduled preventative maintenance on a timely basis and that unscheduled maintenance is carried out in the most efficient manner.
9. Ensure that minimum Health and Safety requirements are met in full, together with considerations for environmental needs.
10. Carefully record and maintain an inventory list of all Tools and Workshop Equipment and ensure regular spare part inventory.
11. Responsible for the Supervise of Oil and Lubricants ensure that the quality /quantities of the supply of lubricants are in accordance with standards etc.
12. Ensure correctness and registering accurate information onto all documents and responsible to produce timely, daily, weekly, quarterly and Annual reports.
13. Any other duties as required
STANDARD MINIMUM QUALIFICATIONS
Education: Completion of secondary school education. A technical college diploma or bachelor's degree in logistics & supply chain management, transport-related & other relevant fields.
Experience: Secondary school education completion with a minimum of 5 or more years of working experience OR a Bachelor’s Degree with 3 or more years of work experience as a Logistics Assistant, or similar relevant work experience in a private company, humanitarian organization, and dealing with logistics operations. experience gained in both light and heavy vehicle usage is an added advantage.
Language: Fluency in both oral and written communication in English and Amharic. Other languages are an added asset.

• Experience analysing data (on commodities, funds, etc.) and drafting reports.

• Experience in assisting the preparation of contract documentation.
• Experience in providing technical business support in corporate systems.
