Duties and Responsibilities
Under the direct supervision of the logistics associate (commodity accounting), the position will execute commodity accounting (CA) tasks to ensure accurate and timely inventory management:
• Work on data inputs in WFP corporate systems, ensuring it is accurate and liabilities and assets are accounted for at any given point in time.
• Serve as focal point for data entry in WFP systems and deliver on timely reporting concern transitions.
• Execute and ensure that transactions are performed according to the standard business processes and corporate guidelines.
• Be the focal point for area offices and prepare system inputs for Physical Inventories, including verification and reconciliation in the system before the closure deadline.
• In close liaison with CO Programme, serve as the focal point for quarterly and annual reconciliations between LESS and COMET are completed.
• Provide input for the Annual Country Report and any other reporting cycle required.
• Be responsible for monitoring commodity accounting activities in specific area offices and ensure stock data is accurate.
• Prepare and circulate sales of stocks and support with transactions. Perform timely and accurate data entries in WFP corporate system to guarantee business continuity.
• Follow up on waybill confirmation and inclusion of data in WFP systems.
• Support with user management and storage locations in WFP inventory systems.
• Liaise with transport planning team for timely issuance of transport documents such as STO/LTI to transporters for transfers whenever required.
• Collate data and contribute to the preparation of accurate and timely reports of Logistics activities, to contribute to building consistency of information related to food distributions and Inventory records.
• Provide regular support to Sub Offices to ensure data are timely maintained in the LESS corporate system.
• Monitor data quality and take corrective actions to rectify wrongly captured data and ensure downtime is kept to a minimum.
• Deliver on data analysis and reporting on stock movements and follow-up in case of misalignments.
• Follow up on unresolved issues and troubleshooting in coordination with Country Office and other internal and external stakeholders.
Minimum Requirements
Education: Completion of secondary school education. An advanced diploma in logistics, supply chain management, business administration, economics, and social science or a related functional area is required. A degree in the related functional area is an added advantage
Experience: At least five (5) years of relevant professional work experience, out of which at least one (1) year of work experience directly in the Supply Chain.
Language: Fluency in both oral and written communication in English and Somali is required
