ORGANIZATIONAL CONTEXT

Our WFP Facilities team, situated in the Facilities Management Unit of the Management Services division, based in Rome, Italy, supports WFP colleagues globally for provision of guidance, oversight and support for the management of building facilities, including common premises. This position is available for an initial period of 11 months, with the option to renew for a further 11 months based on performance.
JOB PURPOSE
The selected incumbent will report to the Facilities Management Officer and will be expected to primarily provide guidance and tools for WFP Country Offices which intend to engage in UN House/UN Common Premises renovation, construction and/or relocation projects, and to study and recommend solutions to enhance efficiencies as well as to increase the number of UN House/UN Common Premises worldwide.
KEY ACCOUNTABILITIES (not all-inclusive, nor exhaustive)
- Acts as main focal point on Common Premises for the team, coordinating and ensuring proper communication between relevant stakeholders and consistent updates to reports, documents and relevant material on WFP portfolio and Common Premises results
- Implement relevant strategies specifically related to Real Estate to guide field offices on the business processes related to establishment of office premises, with a specific focus on Common Premises
- Provides technical advice to field offices on the implementation of the UN Reform and WFP policies, standards, norms, and practices to ensure that outputs meet the established quality standards and are compliant with wider UN and WFP policies, procedures, guidelines and operations
- Promotes Common Premises culture, in line with the UN Advancing efficiency initiatives and ensure proper support to COs to engage effectively
- Supports field offices and provide technical input for real estate decisions in the field, including office expansions, downsizing, consolidations and acquisitions
- Works cross-functionally with internal (i.e., WFP Engineering, IT, HR, Legal, Procurement, Insurance, etc.) and external (i.e., other UN entities) stakeholders to ensure cohesive delivery of services
- Provides technical expertise to the TTCP, through the Facilities Management Officer, on activities related to common premises and TTCP workplan, including analysis of feasibility studies, cost-benefit analyses, financial proposals, etc.
- Provide comprehensive space management services (efficiencies, furniture, technical design, cost estimates, etc.) in consultation with the requesting field offices, ensuring WFP premises are aligned with New Ways of Working principles, environmentally efficient and cost-effective
- Updates ARCHIBUS data, essential to overall reporting of the Real Estate Portfolio
- Attends the TTCP+FS meetings, prepare and review material, documents, and reports, providing comments on behalf of WFP as required, in coordination with the MSDI team
- Prepares communications materials for various audiences including training material webinars and newsletters on UN Reform, Common Premises and WFP Facilities Management
- Consults with the designated focal points in the field offices, and other relevant stakeholders as required, on UN Reform and Common Premises processes and procedures, WFP business processes
- Ensures availability for short/long term missions if required.
- Other tasks assigned as appropriate by the supervisor related to the unit’s ongoing work. Any other task as may be assigned from time to time
Essential Requirements:
- Well-developed written and verbal communication skills are essential.
- At least an intermediate level in Microsoft Office Package (Word, PowerPoint, Excel, Outlook), AutoCAD, Photoshop and CAFM software knowledge.
- Working knowledge of the United Nations, Sustainable Development Group, UN Reform and/or Common Premises is required.
Desirable Requirements:
- An interest or prior experience in public private partnership financing for projects is highly desirable.
- Working knowledge of Archi bus is highly desirable.
STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE
Education: Advanced degree in Architecture, Engineering, Facilities Management or any related built environment discipline.
Experience: Minimum of 5 years of professional post-graduate experience in architecture, space planning and /or facilities services or related field.
Knowledge & Skills:

Language: Spoken and written English essential. Second UN language would be an asset, particularly Arabic, French, or Spanish.
