KEY ACCOUNTABILITIES (not all-inclusive)

Under the overall supervision by Head of Area Office and direct supervision by Programme Associate in Hpa-an, the incumbent will perform the following duties: –

  • Ensure and provide instruction office compound and utilities maintenance services including such as security, hospitalization, cleaning, electricity, water supply, vehicle control and managements.
  • Extract and input data from various sources in administrative, human resource, procurement and other WFP corporate systems;
  • Maintain a selected number of administrative control records, such as for commitments and expenditures, travel, and office stationeries.
  • Initiate and process administrative actions such as those found in human resources related task such as prepare recruitment process and assist recruitment panel report, travel, procurement and NFI procurement for the project implementation need, disbursement;
  • Assist in monitoring vehicle repair and maintenance expenditures and allotments through WFP corporate systems, conduct service record.
  • Prepare monthly Admin closure and Asset Inventory report, handle and keep up staff profile update, report such as monthly staff leave and attendance record and monthly salary request for the staff.
  • Monitor and report the internet connection condition and track inventories such as computer and electronic items when a staff member resign from WFP and assisted processing of administrative actions as an ICT alternative person.
  • Assist preparing of staff contract extension requirement process and keep up documentation update on contract expired.
  • Support staff’s Travel necessary documents and perform as WeTravel focal point and record each travel and report to CO-finance for further actions.
  • Search for, retrieve, compile, assemble and archive a variety of statistical data from computer files, records, reports or from other sources for internal/external use; provide basic analysis of the data as requested;
  • Arrange meetings such as workshops, seminars orientation in person or through virtual platforms and provide virtual connectivity allowance if required.
  • Make travel arrangements in line with administrative rules and procedures.
  • Set up, classify and maintain files and given supervision of office supplies and driver.
  • Perform other related duties as required.

STANDARD MINIMUM QUALIFICATIONS

Education and Experience

University degree with two or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Knowledge & Skills

  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Ability to work to deadlines and follow clear instructions.

Language

Fluent in written and oral skills in both English and Myanmar.
