Job Purpose:

The Executive Coordinator is responsible for organizing, scheduling and coordinating the activities of the Chief Sales and Marketing Officer; in addition to providing administrative and secretarial support when required and serving as a custodian for all documentation handled to the departments.

Core Responsibilities:

  • Manage the scheduling and coordination of the CSMO meetings and activities
  • Liaise with internal departments, answer calls, and make travel arrangements
  • Type, format, and edit reports, documents, and presentations
  • Process purchase requisitions, invoice requests, travel reimbursements, corporate expenses and other business-related expenses
  • Manage internal and external correspondence on behalf of senior management
  • Prepare facilities for scheduled events and arrange refreshments, if required
  • Order office supplies and replacements, as well as manage mail and courier services
  • Observe and report best business practices and etiquette
  • Manage head of departments communication effectively by maintaining a contact list
  • Maintain contact list of all clients , suppliers and stakeholders.
  • Assist in preparing documents for the senior management in a timely and accurate manner
  • Organize department files and records and ensure the proper documentation of all business-related agreements
  • Perform other responsibilities and tasks as required or as directed by the CSMO
  • Compile daily media to be circulated to all department heads and prepare press release coverage reports
  • Strive to achieve the highest levels of proficiency on all competencies and skills required to perform the role
  • Set performance goals in the beginning of the year after discussion with his/her direct manager and ensures that the goals are achieved during the course of the year

  • Bachelor’s Degree, High School or secretarial certification
  • 3+ years in a similar field
  • Past experience in an administrative role is required
  • Strong English and Arabic Language skills; written and spoken
