Background
The Jordan Economic Reform Activity Task Order 1 (ERA TO1) is a 5-year, $54 million program funded by USAID, which aims to support the Government of Jordan (GOJ) to prioritize and implement economic reforms. Through coordination with the GOJ, the Jordanian and international private sector, other donors, and Jordanian civil society, ERA TO 1 will (1) advance economic reforms, (2) strengthen the business enabling environment, (3) increase exports and local, regional, and international investments, and (4) respond to emerging priorities.
POSITION DESCRIPTION
The Receptionist will provide general administrative support work in the front desk at the reception area. of the office. Guide visitors as needed, be present in front door to support any ad hoc admin support.
DETAILED RESPONSIBILITIES
- Serve as ca focal point in the front desk, welcoming and recording names of visitors and guiding visitors to meeting areas and informing staff of their visors. Answer queries by employees and visitors.
- Update Team Directory as needed.
- Manage the meeting rooms booking schedules.
- Distribute and store correspondence (e.g., letters, emails, and packages).
- Support printing, scanning and any other administrative support as needed.
- Schedule in-house and external events, meetings…etc.
- Perform general administrative, clerical, and executive support tasks to ensure organizational sustainability.
- Maintain staff shared calendars and update events and staff absence times.
- Maintain trackers of office supplies and stationaries and fill PAR as needed.
- Organize and facilitate workflow to ensure a productive workplace.
- Coordinate for facility management and maintenance.
- Coordinate the use and organization of office space as needed.
- Operate with integrity and assurance of confidentiality, commitment to excellence, compliance with all USAID rules and regulations, contractual requirements, and Chemonics policies, systems, and value.
- Other tasks as assigned.
MINIMUM QUALIFICATIONS
- University degree preferred.
- At least 3 years of experience of working in administrative role.
- Demonstrated organizational skills in coordination, detail-orientation, time management.
- Computer skills, particularly in MS Office software.
- Strong interpersonal skills and ability to work with culturally diverse staff.
- Strong English communication skills (oral and written)
- Ability to work with the team or independently.
LOCATION OF ASSIGNMENT
The Receptionist will be based in the project’s office in Amman, Jordan.
