Front Desk / Receptionist

Job Purpose:

This position will perform a wide range of office support activities to facilitate the efficient operations of the company, the purpose of this position is also to provide general administrative support, which will allow for much-needed flexibility, engagement, and responsiveness for our growing company

-Duties & Responsibilities,

-Reception related:

Greet, welcome and direct guests to the appropriate person as soon as they arrive at the office.
Answer, screen, and forward incoming calls.
Ensure that the office is tidy and presentable.
Provide basic and accurate information in-person and via phone/email.

-Office maintenance related:

Keeping records of maintenance practices and repair work done on all facilities and equipment.
Schedule future maintenance practices and detect repeat malfunctions.
Establishing and maintaining relationships with suppliers and vendors regarding maintenance and procurement.

-Procurement related:

Purchase supply of products/materials and determine the lowest cost for products/materials.
Prepare requisitions and purchase orders.
Order office supplies and keep inventory of stock.
Track and record orders, receive orders and document arrivals.
Negotiate contracts and costs with suppliers and vendors to meet company standards.

-Admin related:

Following up on the company’s official contracts and documents.
Provide support with any other duties that may be assigned by the direct manager.
Scheduling appointments and maintaining calendars.
Preparing memos & reports.
Arranging staff meetings and company events when required.
Support in insurance related matters.
Support in time attendance related matters.

-Education, Experience & Qualifications:

Diploma/Bachelor’s degree in business administration, or relevant field.
1-2 years of experience as an administrative officer, receptionist, or relevant role.
Knowledge in Maintenance and Procurement matters.
Strong organizational skills, with an ability to prioritize important projects.
Excellent level of proficiency with (MS Office)
Very good phone, email and in-person communication skills.
Strong command of both spoken and written English
