OBJECTIVE OF THE POSITION:
Mission: Under the overall coordination of the CBR Manager and under the direct supervision of the CBR Officer, the Project Assistant supports the overall of the community-based rehabilitation activities implementation in project locations.
Reports to: CBR Manager.
Responsibilities
Responsibility 1: Support the project to manage all processes and procedures related to cash requests, payments and advance closures
Activities:
- Anticipate payments and make requests to Finance department.
- Keep record of all cash Payments on excel worksheet, update it on Master database and ensure that accurate data related to payments is reported on time and in sufficient quality for monitoring
- Support the project team to understand and apply correct procedures related to cash handling.
- Ensure validity of all supportive documents before making payments.
- Translate invoices related to the project and prepare payments in accordance with HI cash procedures.
- Ensure all required documents are attached; calculations are correct, appropriate approvals are in place before proceeding to any payment.
- Organize, support and follow-up cost calculation process in collaboration with the project officer.
- Prepare the weekly movement plan in coordination with the project team.
- Collect CBR volunteers’ attendance sheet and send it to human resources department in order to prepare their payment.
Responsibility 2: Support the management of project files and data
Activities:
- Ensure proper filing, sharing and archiving of project documents, while ensuring that confidentiality of beneficiaries’ data is respected and implemented.
- Support the PO in ensuring regular monitoring of files and data.
- Manage the project’s data and do the needed data entry.
- Monitor and compile the database that is shared from CBR volunteer and share it with MEAL team.
- Identification of CBR need in the field and share the needs with Project officer using HI tools.
Responsibility 3: Participate in the planning of project activities
- Participate in the planning of project activities according to the budget dedicated, the agreed work-plans and in respect of internal standard procedures.
- Participate to lesson learning analysis, identification of good practices for the project.
- Participation in internal coordination (and other) meetings upon request from the line manager.
- Compile all the waiting lists and share them with the MEAL team weekly.
- Identify the project catchments area and follow-up the service map with referral officer.
- In collaboration with CBR officer, identify the Syrian refugees’ needs and measure it in the community by conducting a focus group session.
Responsibility 4: Assist the CBR manager and CBR Officer in any other tasks that may not be described in the Job description and yet may participate to the achievement of the objectives of this position.
- Organize the waiting lists by area and answer to calls on beneficiary lines.
Others:
- Confidentiality is required in all these responsibilities.
- Movements to the field are requested upon request
THE SUCCESSFUL CANDIDATE will have:
- Degree in Project Management or similar Or Degree in Social Sciences
- Experience working in humanitarian and /or development context
- Proven supervisory experience
- Understanding of project cycle management,
- Knowledge of users centered approach and center based rehabilitation
- Knowledge of referrals mechanisms
- Good writing skills
- Ability to work with partners, civil society organizations, public and private services providers and public authorities
- Good computer skills
- Strong organizational skills
- Strong interpersonal and intercultural skills
- Autonomous and Diplomatic
- Excellent communication skills essential to ensure cohesion with the other project staff, national and local or international actors
- Sense of negotiation
- An additional qualification in areas such as project management or supervision is an asset
- Degree in rehabilitation sciences
- Experience working in community based approach / community mobilization

Initial contract will be for a period of 12 months (renewable based on mission status) , the position is based in Amman
Basic salary range for the position: 717 JOD – 1008 JOD (salary commensurate with experience and according to internal salary grid).
