JOB PURPOSE
Due to Flood Emergency, the movement of inventory items as well as new items are transferred very frequently in large quantities. To provide administrative support for the smooth management of the administration activities with a direct reporting line to the Administration Associate / Head of Provincial Office or the designate. This job will be based in Sukkur.
KEY ACCOUNTABILITIES (not all-inclusive)
. Check the provision of a range of services, including facilities and light vehicle management, travel, protocol related, etc., maintaining information, to contribute to the provision of a safe and comfortable working environment.
. Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources.
. Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required.
. Undertake research and perform basic analyses of data, to contribute to the provision of accurate information and effective management of resources.
. Be a first point of contact for internal queries, to facilitate the provision of efficient and effective resolution of daily issues.
. Tracking of inventory in SAP/Physical count and reconciliation.
. Resolve issues relevant to facility management, Coordinate with the Provincial office for guidance and support.
. Resolve issues relevant to Equipment maintenance, Coordinate with the Provincial office for guidance and support
. Event Management – Training, immigration, High-level missions.
. Manage WFP fleet and update in FMS on monthly basis, assign drivers, and look after the maintenance issues.
. Follow up with PO Admin for Posting of SES / GRN or any other general issues
. Provide oversight to other units on Admin SOPs
. Raise PR in WINGS for any requirement for the field office.
. Prepare monthly cash forecast, Handling Petty Cash, Preparing P cash vouchers, parking in WINGS for replenishment, and reporting on petty cash monthly.
. Support staff for preparing advance adjustment
. Support other units in preparing budgets for their activities
. Ensuring Staff and vendor payments/claims in a timely manner
. Any other task as assigned.
STANDARD MINIMUM QUALIFICATIONS
Education: Completion of Secondary School Education. First-level university degree in Business/Public Administration, Economics, or a relevant field is desirable.
Work Experience: 5 years of experience in Inventory Management in the SAP environment.
Knowledge & Skills:

SAP/Oracle-based App Usage

MS Office, Intermediate Skills
Language: Fluency in both verbal and written communication in English. Ability to effectively communicate in Urdu.
