Anticipates and directs the execution of administrative deliverables for the Head Quarter Office.

Duties and Responsibilities:

  • Transfers administrative/departmental knowledge to the administrative team.
  • Tracks and responds appropriately to incoming calls and letters from external customers.
  • Serves as a department resource for ideas and direction.
  • Provide administrative support and input to the budget process.
  • Process telephone calls and answer inquiries.
  • Opens, sorts, and distributes incoming mail, reports, and correspondence for principals.
  • Produces correspondence and reports using appropriate software and tools.
  • Establishes and maintains files and records.
  • Maintain inventory and ordering office supplies.
  • Arranges travel reservations and accommodations.
  • Manages calendar for self and principals/customers.
  • Coordinates and participates in the planning and execution of special events for the department.
  • Coordinates specialized or complex projects and meetings.
  • Participates in cross-functional teams as assigned.
  • Deals with the top management incoming mail, including assessing its priority, collating it with relevant background information and presenting it in a logical and orderly manner, then allocate, where necessary.
  • Performs some translation in both Arabic and English as requested.
  • Manages top management diaries, to ensure that they are able to fulfill their commitments in accordance with their agreed priorities.

Required Qualifications and Experience

  • Experience for 5 years in a similar position.
  • Secretarial skills and experience, including accurate typing in both Arabic and English.
  • Excellent computer skills & working knowledge of computer programs with an emphasis on power point, Excel and database access tools.
  • Experience in administration and able to draft letters.
  • Able to prioritize and possess effective time management.
  • Ability to handle extremely details and highly confidential information.

University degree in English or Business related field.
