Responsibilities

  • are looking for an Event Project Manager with a strong focus on budget management.
  • ideal candidate is a Project Manager with a background experience in events with very strong skills in Excel. Financial experience and knowledge is a plus.

Excel skills required (not limited to):

  • Creating a financial strategy or budgeting plan from scratch and typing it into Excel.
  • Taking existing data from a separate document and inputting it into Excel.
  • Transferring a schedule from an outside source and rebuilding it in Excel.
  • Using shortcuts and formula functions
  • Sorting and filtering data

General responsibilities as Project Manager:

  • Conducting initial planning meetings with clients to establish goals for the event and develop a budget estimate and timeline
  • Preparing detailed schedules for all event activities and managing employees who will be involved in the production of the event
  • Develop project budgets for approval by different stakeholders
  • Develop project plans to execute events
  • Develop recommendations for project plans including risk management plans
  • Produce detailed proposals for events according to clients' requirements (including timelines, venues, suppliers, legal obligations, staffing and budgets)
  • Present event proposals to management and clients for approval
  • Collaborate with internal stakeholders and vendors to ensure adherence to event plans and budget
  • Review project deliverables to ensure that project plans are followed
  • Propose department's financial budgets for management approval.
  • Cashflow forecasting
  • Manage financial budgets that are aligned with departmental work plans.
  • Liaise with clients on invoicing and payment matters to ensure timely settlement.
  • Manage any escalated issues as well as deviations to the project plans.
  • Recommend measures to improve event management and outcomes.
  • Recommend selection of venues to hold the events based on clients' requirements with internal stakeholders
  • Negotiate prices and hire manage and coordinate suppliers and all event logistics (for example, venue, catering, travel)
  • coordinate suppliers, handle client queries and troubleshoot on the day of the event to ensure that all runs smoothly and to budget
  • Manage a team of staff, giving full briefings
  • Make sure that insurance, legal, health and safety obligations are followed
  • Oversee the set up, dismantling and removal of the event and clear the venue efficiently
  • Resolve all project issues and deviations to ensure that projects are executed as planned.

Minimum Criteria

  • Bachelors Degree in any field.
  • 6-8 years of relevant experience Managing and budgeting large scale event projects in Saudi Arabia.
  • Candidate must be based in Saudi Arabia.
