Economic and Administrative Assistant in Foreign Mission

We seek an experienced, energetic, and organised Economic and Administrative Assistant to join our team. In this position, you will provide administrative and secretarial support for the staff of the Mission. In addition to economic and administrative affairs, filing and scheduling, data collection and analyzing, you will perform duties such as communication with local companies and work on different projects when required. Other duties will include scheduling and organizing complex activities, meetings and events. Applicants need to provide a CV and cover letter.

Administrative Staff Duties and Responsibilities

  • Basic bookkeeping.
  • Plan meetings and conference calls, arrange and manage appointments.
  • Maintain electronic and physical files.
  • Ability to collect, organize and analyse documents, reports and information when required.
  • The ability to troubleshoot basic IT issues.
  • Maintain and reorder office supplies.
  • Sort and distribute mail.
  • Coordinate with local companies.
  • Respond to emails.
  • Act as a liaison with local agencies when directed.
  • Work independently and within a team on special projects.
  • Drive for the staff of the Mission.
  • Assist mails/parcels/goods delivery between the Mission and government agencies, embassies, international organizations and other concerned institutions.
  • Provide backup support to other local employees within the Mission as directed and when required.
  • Any other tasks assigned by the Economic and Administrative officers and staff of the Mission.

Administrative Staff Requirements and Qualifications

  • Minimum of college/university degree.
  • Holds a valid Jordanian driver's license with clean driving record for the past 2 years.
  • Strong English-Arabic language and translation skills, including writing, grammar and spelling. (Tests will be conducted during the interview)
  • Full cooperation with overtime duties on weekdays, weekends/national holidays as requested.
  • Ability to collect and analyses general data when requested.
  • Excellent time management, communication, ability to observe and adhere to protocol.
  • Basic knowledge of vehicle maintenance
  • Knowledge of local businesses and companies.
  • Passion for economic and international affairs.
  • Experience with Microsoft EXCEL, PowerPoint, Word and video editing softwares. (Tests will be conducted during the interview)
  • Personal effectiveness and credibility.
  • Strict attention to detail and ability to follow orders.
  • Ability to keep records and files organised.
  • Competent collaborator and skilled cross-functional communicator.
  • Strong time management with respect for deadlines.
  • Confidence with numbers (not afraid of mathematics).
  • Ability to resolve general administrative problems.
  • Willing to respect and assist staff of all genders and religions.
