ABOUT THE ICRC
The International Committee of the Red Cross (ICRC) works worldwide to provide humanitarian assistance to people affected by conflict and armed violence. We act in response to emergencies and at the same time promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.
PURPOSE OF THE POST
The Logistics Department in Amman, Jordan is responsible to provide smooth flow of resources to all program’s requirements. As the operational activities are increasing in addition to the continuous arrival and departure of delegates, a need to increase the logistical capacity arose to ensure logistics is responding in an efficient, effective and timely manner way.
ACCOUNTABILITIES AND RESPONSIBILITIES
Provides support in accordance with logistics standards, ICRC rules, financial procedures, and regulations. This may include some or all the following activities:
- Transport:
- Ensures that the required documentation is correctly established to clear import/export items
- Initiate and process exemptions with concerned Jordanian authorities for all ICRC importations to Jordan
- Initiate and process exemptions with concerned Jordanian authorities for ICRC diplomatic importations,
- Handle the customs formalities in coordination with clearing agents and colleagues from Impex, supply chain, warehouse, and other units for all JOR Delegation incoming and outgoing shipments in line with the Jordanian law and customs rules.
- Follow up with the relevant JOR authorities, MFA, JFDA, TRC, Jordan Metrology and Standard, Traffic department, etc to ensure approvals are processed in timely manner.
- Receive and expedite freight out of the country in collaboration with external commercial parties.
- Follow up and coordinate with points of origin and HQ to ensure all shipping documents are obtained and accurate.
- Manage the import-export formalities including the personal effect and ensure high level of coordination and updates between all involved parties is in place.
- Is responsible for following up on, filing and archiving department documents and other as needed.
- Verifies and process invoices (from customers, freight-forwarders, clearance companies, etc.) and submits them to finance department on time.
- Report’s problems and irregularities in import-export activities; reports security issues.
- Makes a proper follow-up on documentary requirements and on the delivery status of the orders.
- Participates actively in the internal logistics meeting and informs accurately on the active files.
- Warehouse management & stock control:
- Maintain and follow up on JOR warehouse stock control (expiry dates, batch numbers, manufacturer, quantity…) and ensure it is updated and accurate.
- Upon request, ensure that goods are properly stored, picked, packed and loaded and reports any issues.
- Provides supervision and support to JOR warehouse operations where/as needed.
PROFESSIONAL EXPERINCE AND EDUCATION REQUIRED
- Minimum two years of experience in logistics.
- Bachelor’s degree in supply chain management or any related field.
- Sound knowledge of shipping processes and clearance.
- Strong command (spoken & writing) of both English and Arabic languages.
- Knowledge of enterprise resource planning systems is a plus (JDE, SAP, etc.)
- Strong communication and teamwork skills.
- Ability to work under pressure.
