Context and Scope
Under the general supervision of Chief of Mission, Sr. Resource Management Officer and the guidance of Resource Management Officer and direct supervision of the Senior Finance Assistant will be performing the following functions.
Responsibilities and Accountabilities:
- Assist in checking the accuracy and completeness of all incoming payment, invoices, official receipts before processing the request for payment or receipt
- Process and release cash payments daily and coordinate cheque and transfer payments with Amman Main office, to staff and/or other payees in coordination with Senior Finance Assistant, verify all official supporting documents and authorizations as per the office Payment Matrix are in place before payment.
- Enter payments, receipts and non-cash vouchers in the organization accounting system (PRISM FI) in line with assigned PRISM FI role.
- Submit all settlements on time and accurately.
- Carry out monthly checking of assigned vendors, and follow up on open items, ensuring prompt clearance of advances, and escalation of problematic issues.
- Maintain daily balance book to support petty cash and help reorder of cash in a timely manner.
- Maintain and keep in a proper manner all accounting documents, HR and Admin documents by filling all document in line with department filing system regularly.
- Retrieve documents and assist with audits when required
- Maintain employee attendance and leave records and communicate directly and in coordination with Human Resources in Amman for all related to HR and Admin
- Generate and prepare administrative, HR and Finance reports reflecting all cash receipts payment and expenditures as required
- Assist in administrative, HR and Finance tasks as requested by Main Office, including coordination of documents for authorizations and signatures.
- Perform other duties as assigned.
Eucation and Experience
- Bachelor’s Degree in accounting, economics or university degree, with two years of working experience; or High school diploma with a relevant financial qualification and four years of working experience in finance/ accounting and administrative experience
- Ability to prepare clear and concise reports and to analyse and interpret source information and data.
- Knowledge of publicly recognized accounting systems (SAP, ATLAS, Oracle, etc.), software and procedures are a distinct advantage.
- High level of computer literacy is required computerized accounting systems. Good knowledge of MS office, specifically EXCEL
Skills :
- Thorough knowledge of English
- Attention to detail and ability to organize
- Excellent computer skills – Word, Excel and Internet
- Strong interpersonal and communication skills
- Ability to work under pressure with minimum supervision.
Languages:
Fluency in English and Arabic oral & written is required.
