Position Summary

This position provides the executive-level leadership with administrative support that includes but is not limited to calendar management, travel management, and expense management. The incumbent supports data management, and desk research coordinates monthly reporting, and takes up special projects as assigned.

Job Responsibilities

  • Provides professional representation of the function liaising frequently with senior-level personnel, Directors, and external collaborators and contacts to assist with departmental objectives.
  • Provides leadership with extensive and continuous calendar management, domestic and international travel management, expense management, event registrations and detailed meeting plan management, and all other executive support.
  • Coordinates and arranges on and off-site meetings, and events, and manages the appointments & travels for unit/departmental leadership with supporting materials as needed.
  • Orders equipment or inventories as required and raises the shopping cart.
  • Creates presentations, coordinates, and collates data for monthly reporting.
  • Assists executive leadership in tracking key operational metrics by organizing and compiling data, researching facts, and coordinating information retrieval.
  • Independently performs special projects that require a combined knowledge of administrative needs and technical operations.
  • Acts as representative of executive leadership regarding internal and external relations and correspondences and screening communications.
  • Addresses matters of a sensitive nature whether routine or non-routine and applies judgement and initiative in the prioritization of such issues.
  • Ensures that executive leadership is informed of priorities, deadlines, and challenges.
  • Arranges teleconferences, domestically and/or internationally.
  • Track internal and external contacts and maintains the database.
  • Provides backup administrative support to others as necessary and guides the junior administrative staff.
  • Performs other duties as assigned.

Education & Experience

  • Bachelor’s Degree in a related discipline with 7- 8 years of relevant administrative experience. Prior experience in research, medical or educational field is an added advantage.

Knowledge, Skills and Abilities

  • Must be diligent with demonstrated ability to collect, analyze and interpret information.
  • Good project management skills and poised at interacting in a place of diverse culture.
  • Demonstrates a high degree of discretion/diplomacy and time sensitivity in a challenging environment, where there are frequent interruptions, conflicting priorities, and varying workloads.
  • Ability to show and demonstrate on a consistent basis initiative, professionalism, and flexibility.
  • Observes strict confidentiality of information in all aspects of services provided.
  • Ability to anticipate needs, resourcefulness and responsiveness are essential.
  • Understanding of HIPAA and the importance of privacy of patient data.
  • Strong interpersonal skills with the ability to interface effectively with a wide variety of internal and external clients, negotiating and influencing stakeholders.
  • Excellent verbal and written communication skills, ability to write reports, create presentations etc.
  • Proficient in MS Office Suite with an emphasis on PowerPoint, Excel and Word.
  • Well-versed in written and spoken English and Arabic (preferably).
