Project Assistant
The “Support to Green Electrons and Molecules’ (GEM) development in the Southern Neighbourhood” project in Jordan is seeking to recruit a “Project Assistant” on full-time base employment as per the below job description.
Core tasks
In your role you perform the specified commercial, organizational and administrative tasks correctly and on schedule in collaboration and consultation with your line manager, in accordance with the project/programme objective and with due regard for legal, contractual and internal requirements and procedures.
In this context, you organise all types of events that are planned in the project/programme, in accordance with GIZ’s rules and regulations, and are the contact person for all internal and external actors.
You are responsible for managing and updating the required files and data for your work area. You compile these files and data for evaluations, files and statistics, in line with requirements, and observe the quality assurance standards that apply for documents.
You cooperate constructively with all internal and external stakeholders in your area of responsibility and help work on the issues and tasks that arise in the project/programme. You ensure that information flows correctly, refer matters to other units as required and ensure that all processes run smoothly.
In response to enquiries, you provide general information within your specialist area based on established processes and with due regard for compliance rules. You also provide information and advice on internal workflows.
You provide support for knowledge management and ongoing process development in your area of responsibility. You also prepare and share documentation.
You perform the tasks assigned to you by your line manager, where required.
Qualifications and specialist knowledge
- University degree in business administration, industrial engineering, management, translation, communication, or any related field.
- 1-2 years of experience in a relevant field
- Ability to function effectively both independently and collaboratively within a team environment.
- Ability to participate in team planning and decision-making.
- Experience with EU Services contracts’ procedures
- Written and oral fluency in English, Arabic, and French.
- Demonstrated knowledge and competence in the use of software applications: word processing, spreadsheet, presentation, web, and email applications (Microsoft Office preferred).
Main activities
- Assisting project manager and staff with the development and implementation of the project work plan and assisting in the clarification of objectives and operational needs to facilitate project implementation.
- Assisting project manager and staff with the development and implementation of work plans for special events, lectures, conferences, and meetings.
- Assisting project manager and staff with planning, designing, developing, editing, producing, and disseminating project products and reports, including training materials and guides, project reports, and presentations.
- Assisting project manager and staff with meeting logistics and participant communications including agendas and material development, production, and dissemination.
- Attending meetings, taking minutes, drafting correspondence, collecting and compiling information, and serving as a liaison between the project manager and director, project staff, and experts.
- Assisting with data collection activities (collecting, organizing, and analyzing project data, research information related to project or proposal content and methodology; presenting information in the appropriate format to support project/research objectives; writing section of reports; preparing and distributing special reports that might be requested by the Client) further ensuring a proper file storing according to GIZ rules.
- Where appropriate and reasonable, the position holder is willing to perform tasks outside the scope of the job description
