Job Summary:

Responsible for supervision of the Medical Records Department Staff performance, training and accurate & efficient completion of day-to-day activities. Coordinates and participates in all clerical activities of the Medical Records Department/Unit.

Duties and Responsibilities:

  • Assists in establishing medical records policies & procedures and ensure their full implementation.
  • Coordinates the daily activity of the file area with medical record clerks to ensure overall filing and retrieval of medical records and loose reports.
  • Liaises with medical, nursing & administrative staff regarding Medical Records procedures and all related issues, requests and queries.
  • Performs verification checks on records/systems to eliminate and correct errors; investigates cases of missing records or incorrect numbers/names; answers inquiries regarding procedures and actively apply problem-solving solutions to devise or enhance procedures.
  • Ensures that Medical Record Staff follow established procedures in the department; ensures prompt delivery of requested records; investigates problem areas and notifies the Operation Manager if decision/assistance is required.
  • Ensures that updated computerized appointment lists for additional clinic appointments from OPD Department are obtained in a timely manner and ensures that all requested medical records for all clinics are pulled and ready for delivery to clinic reception by 9:00 am each day.
  • Ensures that all records are collected from Outpatient Clinics and checked against outstanding requisitions.
  • Prepares staff duty schedule. Trains new staff in all aspects of medical record procedures. Plans and conducts meetings with subordinates to explain and implement new policies, procedures and practices and to keep employees abreast of the Hospital and Departmental activities.
  • Supervises and evaluates Medical Records Staff Performance as per the established policies.

المهارات

Knowledge, Skills, Experience Required:

  • Bachelor Degree in Health Information Management (Or) Bachelor Degree plus Formal Training in Health Information Management.
  • Minimum of Three (3) years previous experience in the Medical Record Field.
  • Previous experience as an assembler/analyst in Medical Records Department using JCI standards desirable.
  • Working knowledge of terminal digits, color-coded filing system as well as chart tracking and loose filing systems, hospital/medical terminology.
  • Must be familiar with Master Patient Indexes.
  • Working knowledge of English language (writing, reading and speaking).
  • Must be a highly ethical, detail-conscious person with problem-solving skills.
