Job Description

Description:
We are looking for an Administrative Assistant with event production and logistics support experience, with an outgoing personality and excellent written and verbal communication skills. The successful candidate must be organized and possess an exceptionally high level of administrative ability to effectively manage both time and productivity in an incredibly fast paced environment.
This is full-time temporary position from 14/11/2022 to 13/01/2023. There may be opportunity to extend this contract based on performance and company requirements.

Our head office in Dubai services the entire MENA region, undertaking projects of all s in the United Arab Emirates, Oman, Qatar, Bahrain, Jordan, Kuwait, Saudi Arabia, Lebanon and Egypt.
Required:
– Experience in event logistics and production
– Experience using cloud based SAS programs
– Expert working knowledge of MS office applications
– Excellent written and verbal communication skills
Job Description:-
– Work with the Production Team to execute logistics planning and scheduling of all projects
– Assist with the planning, procurement, preparation, execution and post production process
– Communications and scheduling working with multiple suppliers, internal staff and contractors
– Maintaining up to date schedules and communication any relevant changes as necessary
– Exemplify a calm and pragmatic approach to creative lateral thinking, especially during high pressure situations
– Working with production team to action decisions and amendments through the planning and execution phases of event projects
– Document creation and editing
– Preparing freight documents
– Procuring then submitting quotations for review from multiple suppliers
– Sorting and distributing post, and other deliveries
– Updating office supplies inventory
– Preparing supplies requisition
– Monitoring visitor access and maintaining security awareness
– Updating supplier list and customer database
– Providing general administrative and clerical support to the production team
– Keeping reception area tidy and neat
