BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
The Hunger Monitoring Unit (RAMAH) in WFP’s Research Assessment and Monitoring (RAM) Division manages WFP’s global hunger monitoring systems, building upon the successes of the mobile Vulnerability Analysis and Mapping (mVAM) initiative. This entails the establishment and oversight of WFP’s real-time food security monitoring systems in dozens of countries in partnership with other UN agencies and joint food security platforms, as well as developing advanced analytical approaches to ensure timely and holistic views of the food security situation globally. Near real-time monitoring systems have been scaled up to over 30 countries to support WFP’s global response. These systems have also been leveraged to collect other thematic and cross-cutting data (gender, nutrition) to support WFP operation.
RAMAH seeks an Operations Assistant to i) support with the administrative processes for the establishment and maintenance of real-time food security monitoring systems, ii) act as the point of contact for service providers and iii) provide administrative support to the technical teams, as needed.
ACCOUNTABILITIES/RESPONSIBILITIES:
- Oversee the administrative processes for the establishment and maintenance of real-time food security monitoring systems.
- Assist with day-to-day administration of activities between the unit and the external service providers.
- Coordinate with RAM admin focal for the creation of purchase orders related to real-time food security monitoring activities.
- Monitor the deliverables for real-time food security monitoring survey activities including sample performance, checking of invoices from service providers and other tasks, as needed.
- Work closely with the RAM admin focal on payments to the service providers upon completion of the deliverables. Follow-ups on the payments, as needed.
- Act as a point of contact for external service providersvendors.
- Support with the documentation and organization of team folders and files. 8. Oversee the administrative arrangements for meetings, conferences, workshops, team events, and other events, as needed.
- Perform other administrative duties, as needed.
DELIVERABLES AT THE END OF THE CONTRACT:
- Purchase order creation process closely followed.
- Payments done to respective service providers.
- Advisory support provided to WFP Regional Bureaus and Country Offices on the administrative procedures related to the establishment and management of near real-time monitoring systems.
- Participation in regular coordination calls with the CATI service provider.
QUALIFICATIONS AND EXPERIENCE REQUIRED:
Education:
University degree in finance, accounting, or relevant field is required.
Experience:
At least 2 years of previous experience in administrative service, finance, accounting, procurement, or related area.
Knowledge and Skills:
- Knowledge of office management systems and procedures.
- Strong organizational skills with the ability to multi-task
- Experience in the use of office software packages (MS Word, Excel, etc.)
- Experience in international organizations is desirable.
Languages:
Strong command of written and spoken English. Spoken and written French, Spanish or Arabic would be an asset.
