ORGANIZATIONAL CONTEXT
The job holder is accountable for ensuring the data quality and dependability of fleet systems (primarily the WFP corporate fleet management system (FleetWave) and vehicle tracking system , VTS), by effectively managing fleet system support requests, undertaking proactive analysis, and taking appropriate remedial actions. Additionally, it is the job holder's duty to ensure that the fleet systems support team are meeting fleet management business needs.

To coordinate and control a full range of business support services for a specific professional area of work, to ensure that services are delivered effectively.

DUTY STATION (City, Country): Dubai, UAE
DURATION: 12 Months with a possibility of extension
This position is based in the WFP Fleet Centre, Dubai, reporting to the Fleet Systems & Business intelligence Manager under the Fleet Management Unit.
Within delegated authority, the incumbent will be responsible to providing guidance, oversight, and support for the management of administration activities linked to WFP’s corporate Fleet Management Systems and will be accountable for the following duties:
KEY ACCOUNTABILITIES (not all-inclusive)
Fleet Systems Support
• Manage the fleet systems support team to ensure that requests for fleet system support from the country offices are handled efficiently and promptly.
• Conduct regular fleet systems data analysis and advice country offices to for corrective action to maintain high level of data quality (completeness, correctness, and timeliness).
• Ensure vehicle tracking operational data such as VTS devices stock, allocation, airtime etc. are timely updated and reconciled between the VTS platform and the FleetWave FMS data base.
• Develop a ticketing or equivalent system to make sure the fleet systems support team satisfies the needs of the country office and to track the performance of the support team.
• Monitor the fleet systems support requests, respond to complicated and non-routine inquiries, or escalate the problem if additional technical expertise is required.
• Examine the use of FMS by country offices’ Fleet Teams and provide appropriate analysis and solutions to the technical issues faced by the users
• Ensure the FMS system support team are creating and managing users’ profile with the right access levels and according to the FC user profile guideline, maintaining up-to-date user lists and updated master record
• Effectively plan, organize, and manage the work of the fleet system support and disposal team, setting priorities to make sure that tasks are completed in accordance with the requirements of the country offices and the objectives of the fleet center.
• Ensure effective coordination with other units, MSD branches and Global Fleet system team to align activities and maximize collaboration in the digitalization’s and corporate system integration.
• Ensure the disposal of assets in Fleetwave, Wings and Global Equipment Management System (GEMS) updated timely and accurately
• Ensure the vehicle disposal records are complete, accurate and timely updated in all fleet systems database and reconciled with relevant status in the systems
• Regularly perform disposal data analysis by identifying patterns and correlations with fleet management actions to propose improvement on fleet management, disposal methods and related policies
• Ensure effective coordination with GAS and CO team to align activities and maximize collaboration for effective disposal process and lower total cost of ownership of the vehicles to the country offices
• Perform other related duties as required
STANDARD MINIMUM QUALIFICATIONS
Education:
• Completion of secondary school education. A post-secondary certificate in the related functional area. University degree in Business, Information systems/Technology or Engineering is desirable.
Experience:
• Minimum six years’ experience on fleet management systems
• Proven experience on customer service, supporting a global team of diverse needs
• Experience on data analysis and/or database management.
• Ability to understand WFP business and field operational objectives.
Requirements:
• Strong customer service management, organizational and planning skills.
• Demonstrated willingness to be flexible and adaptable to changing priorities
• Strong interpersonal skills and ability to work people at all levels
• Proven ability to work effectively both independently and in a team-based environment.

Knowledge & Skills:
• Strong knowledge and skills in Fleet management systems (Preferably FleetWave) and Vehicle tracking systems
• Proficiency in MS Office (Word, Excel, Power Point, Outlook
• Strong skills in Excel and other data visualization and management software.
• Skills in Enterprise Resource Planning software (e.g. SAP) are desirable.
• Strong knowledge of WFP corporate systems and tools in Administration.
Language:
Fluency in oral and written communication in English; Other UN language would be an asset.
