POSITION DESCRIPTION
Under the supervision of the Program Manager, the incumbent will be responsible for supporting the implementation of English language and cultural program across partner centers located in governorates in Jordan. The Program Officer will support the overall implementation, quality assurance, and program planning of the language program, as well as closely coordinating with the center supervisors in each location in planning, arranging, advertising, implementing and collecting data on the cultural events held each month.
The Program Officer also supports project implementation by conducting field visits to program sites, supporting line management in assessing program quality, monitoring and evaluation, and providing logistical and procurement support for the program overall.
The Program Officer is responsible for the management of the daily operations and procurement activities of English language and cultural program across partner centers located in governorates in Jordan. From the request to the delivery of supplies, works and services. S/he plays a key role in procuring high-quality and cost-efficient supplies. Also, s/he ensures that the Program obtains quality products for competitive prices in a timely fashion and plays an integral role in ensuring the Program sticks to budgets and operates efficiently.
RESPONSIBILITIES
Main Duties:
- Assist in planning, coordination, outreach and implementation of the program’s cultural activities and events across four language centers in Jordan.
- Support local program staff and Amideast program staff in data collection within program indicators and M&E scope
- Conduct quality assurance assessment of cultural activities held at language centers, coordinating with Program Manager and center staff on improvements in outreach, implementation, planning or other
- Assist Amideast staff in preparing statistical and narrative reports about all program or cultural activities and results.
- Follow up daily on inquiries and respond to requests or updates from program partners
- Prepare program tracking sheets for attendance, performance, or any other required metric sheets for cultural programs
- Assist in the development and expansion of relevant language and skills development programs offered through the local centers
- Conduct background checks on prospective trainers, facilitators, speakers and more
- Procure items for specific events or activities held at centers, ensuring proper care, storage and tracking of program assets and equipment.
- Conduct periodic quality assurance (QA) visits to program sites, recommending actions to line management, if any.
- Maintain accurate and up to date filing and records in compliance with program requirements.
- Records all details for contracts, purchase requisitions and purchase orders in the related database.
- Lead on procurement for program-specific needs in coordination with the central Procurement team
- Follow the same procurement procedures at the Office. And ensure that it is aligned with Amideast’s Procurement Policy.
- Oversees inventory control and ordering of supplies.
- Nurtures relationships with suppliers to negotiate the best prices for the products and services required.
- Prepares the required procurement documents, review, and process purchase requisitions in line with Amideast's policies, procedures, and processes.
- Recommends vendors for award and develops preferred vendor lists.
General Duties:
- Communicate and coordinate frequently, accurately, and responsibly with Amideast’s office in Amman and program staff.
- Exhibit behavior and communications that reflect Amideast’s goals of strengthening partnerships and understanding.
- Follow Amideast’s standard operating procedures.
- Support day to day communications among departments and partner organizations.
- Collaborate closely with other departments along with external relations to promote Amideast products and services.
- Perform any other Amideast work-related duties requested by the Program Manager and/or Country Director, including supporting in the task load of other departments as required.
QUALIFICATIONS AND SKILLS
Required
- A minimum of a bachelor’s degree in a relevant field
- A minimum of 3 year of relevant experience
- A minimum of B2 Proficiency in English
- Proficiency in Arabic
- Computer literacy in MS Office
- Ability to multi-task and prioritize responsibilities
- Excellent oral and written communication and interpersonal skills
- Must possess problem-solving skills
- Cross-cultural sensitivity and customer service orientation
- Cultural exchange experience is preferable
- Ability to plan and coordinate events, coordinate with local parties to ensure quality implementation
- Knowledge of American culture, education, and society a plus
- Able to work under pressure and meet short deadlines

WORK ENVIRONMENT
The incumbent in this position will work in a professional office environment and will utilize the following equipment when working from the corporate office or remote home office (either on a full time, temporary, or hybrid basis).

Up to 40% business travel inside Jordan may be needed to support the Program as needed.
