JOB PURPOSE AND KEY ACCOUNTABILITES

Under the direct supervision of the Special Assistant to the Regional Director RBP, and working closely with sub-units in Management (in particular the EPR team), the Programme Unit (in particular the Reporting team), and TEC, the Consultant will assume the following responsibilities:

  1. Prepare Notes for the Record and Minutes of high-level coordination meetings with COs and RB units, particularly CDs meetings, Management Meetings, and other as needed. The IMO will need to capture and follow up on decisions and action points raised during these meetings as needed.
  2. Consolidate, summarize, and analyse inputs retrieved from RBP units and COs required for the creation of multiple strategic documents that drive key business decisions.
  3. Assist in the obtention and consolidation of inputs provided by CO and RB stakeholders (Heads of Units, Country Directors, and their respective teams) in view of preparing background documents, corporate responses, and talking points for the RD/DRD in preparation of meetings, as well in response for requests for comments/reviews from Headquarters.
  4. Support the drafting and/or editing of briefing notes, briefs, power point presentations, and other supporting materials and documents required by the RD Front Office.
  5. Provide support to Management Unit in the preparation of standard operational information management products, such as operational snapshots and reports, or dashboards. To this aim, liaise with country offices, and the relevant regional bureaux and headquarter units in line with established review and approval workflows.
  6. Conduct analysis of specific thematic areas pertaining to information management streamlining, and similar initiatives ongoing at country, regional and corporate levels.

STANDARD MINIMUM QUALIFICATIONS

  • Education: Advanced university degree in Political Science, Economics, Statistics, Library Sciences, Information Management, Social Sciences or other relevant fields, or First University degree with additional years of related work experience and/or training/courses.

  • Experience: A minimum of 3 years of postgraduate professional experience, including field experience, and coordination experience in information management.

  • Languages: Fluency in English and Spanish is required. Fluency in French is an asset.

KNOWLEDGE AND SKILLS REQUIRED

  • Ability to liaise, follow-up on and coordinate with a wide range of people/stakeholders at all levels and across different cultures and to act with credibility and diplomacy (collaborative spirit and reliable team player)
  • Ability to work and act under pressure and rapidly produce clear and concise briefing papers, policy documents and presentations and other written materials for Senior Management
  • Ability to balance speed of work with attention to detail and quality checks.
  • Strong organization and time management skills with an ability to plan, anticipate requirements, problems, and obstacles, and an ability to handle competing priorities successfully and to work with tight deadlines.
  • Proactive, self-motivated and able to work with a high degree of autonomy.
  • Excellent communication skills, both written and oral English and Spanish.
  • Proficiency in Windows MS Office (Word, Excel, Powerpoint, Outlook, Publisher);

To perform the wide range of tasks and excel in this position, the ideal candidate would also have been exposed to direct work for an international institution/organization; in particular WFP.

Duration: 11 months

Successful candidates will be placed in a roster for two (2) years.

Consultants are recognized authorities or specialists in a specific field and whose services are utilized in an advisory, consultative, or demonstrative capacity.
