ORGANIZATIONAL CONTEXT
This job is found in duty stations of Gode. Job holder report to the Logistics Officer, a Head of Unit, or the designate.
At this level, job holders are expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices for all assistance modalities for both WFP and logistics common services. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff.
JOB PURPOSE
Under the supervision of the Fuel Logistics Officer, the role of the Logistics Assistant will include execution of routine operations support around fuel service stations leased by WFP in accurately dispensing fuel and recording transactions in fuel tracking sheets, approved vouchers and posting daily inventory reports on the FMS. In this role, the Fuel Logisticians will also issue fuel to WFP fleet trucks, light vehicles, and generators by ensuring optimum accuracy and high quality of all deliverables in various field offices across the country. Working effectively in a team environment, coordinating problem resolution, and implementing process improvement is critical to this role.
KEY ACCOUNTABILITIES (not all-inclusive)
1. Keep accurate records of all receipts and issues of fuel products on a daily, weekly and monthly basis.
2. Compile daily, weekly, and monthly fuel balance sheets into Fleet Management System.
3. Ensure safety procedures are followed in operating the fuel dispensing equipment.
4. Ensure that received fuels from the supplier are checked for contamination and maintain valid certificates.
5. Ensure fuel is issued only to authorized personnel/equipment in accordance with WFP regulations.
6. Report all anomalies in fuel consumption to the supervisor immediately.
7. Check collation and data entry of information into required databases.
8. Review and analyze database records on a weekly and monthly basis for discrepancies.
9. Ensure that environmental policies at the fuel point are adhered to.
10. Ensure that the proper PPE is utilized during the respective operations.
11. Any other duties as required.
OTHER SPECIFIC JOB ACCOUNTABILITIES
- The Logistics Assistant, customs will be responsible for duties which include preparation of necessary clearance documentations and letters for all incoming consignments for bulk, break-bulk and containerized cargoes through the various ports and overland corridors, while also liaising with the nominated clearing and forwarding agents for cargo clearance.
- The Logistics Assistant, operations role involves among other responsibilities, supporting and engaging in supply chain planning for transportation through facilitation of timely delivery of food and Non-Food Items to the Final Delivery Points inside the country, as well as uplifting of cargoes from ports to the various hubs in the country in an efficient and cost – effective manner.
- The positions of Logistics Assistant information management is that which involves but not limited to acting as focal point for collecting, analyzing and disseminating operational logistics information, in close coordination with other supply chain functions. She/he will be required to prepare periodically, operational overview, briefings, and snapshots on the overall logistics operations. The incumbents will be required to produce products / reports such as situation updates, bulletins, infographic snapshots e.t.c.
- The positions of Logistics Assistant for Service Provision will continue to support the bilateral service provision initiative and strengthen capacity as provided for the CSP under activity 7 and in close collaboration with the Government of Ethiopia. As part of the long-standing capacity strengthening intervention that integrates the core pathways of country capacity strengthening strategic frameworks, the incumbents will also work closely with the government counterpart on the Food Management Improvement Project (FMIP).
STANDARD MINIMUM QUALIFICATIONS
Education: Completion of secondary school education or First university degree, preferably in Supply Chain Management, Economics, Business Administration, Logistics, or other related fields.
Experience: Secondary school education completion with a minimum of 5 years of working experience OR a Bachelor’s Degree with 3 years of work experience.
Language: Fluency in both oral and written communication in English and the local language. Other languages are an added asset.
