ORGANIZATIONAL CONTEXT

The WFP Ethiopia Country Office (CO), as one of WFP’s largest responses, faces unique challenges and risks in its operational context spanning operational/logistical risks, conflict, climatic shocks and a complex geopolitical dynamic. The OIM Reports role requires experience in developing internal and external situational reports and humanitarian analysis. In addition to technical experience -a high degree of integrity and professionalism, flexibility and a problem-solving mind set are needed in this position. The role should be someone well-versed in report writing and must proactively pursue technical support for management and staff.

The Information Management & Performance Reporting Associate is based in Addis Ababa and will work in the Communications and Reporting unit, under the immediate supervision of the OIM & Performance Reporting Officer.

JOB PURPOSE

To deliver a wide range of support to reporting processes and activities for a specific professional area of work, to facilitate effective service delivery.

KEY ACCOUNTABILITIES (not all-inclusive)

1. Support and guide staff across the WFP Ethiopia operation to adhere to standard OIM & PR procedures and templates are followed. Work with the Operational Information management and Reporting Officer to drive the quality, consistency and standardisation of information management and performance reporting across WFP.
2. Using information provided by various units, prepare internal situation reports/operational updates and distribute internally. This includes clearance by County Office management.
3. Using cleared internal situation reports, prepare external situation reports to the point they’re ready for distribution externally. This includes clearance by Country Office management and incorporation of comments from the regional office.
4. Support the coordination and preparation of Annual Country Reports (ACR) for the Annual Reporting Exercise in collaboration with the country office programme, monitoring & evaluation, logistics and resource management functions to ensure coherence and quality of performance information.
5. Collaborate with counterparts internally to ensure consistency in humanitarian information and to complement WFP analysis and information.
6. Support the CO in emergencies by providing secretarial support to Operational Task Forces (OTFs).
7. Support the initiatives for developing improved, streamlined, and harmonized OIM & PR including drafting of OIM & PR related normative guidance, as required.
8. Support the management of the system for collating reports, documents and correspondence, and implement changes where necessary.
9. Improve quality and coverage of Country Office information management systems and design infographics, dashboards for key reports.
10. Ensure the assurance of defined quality standards in all processes and products.

STANDARD MINIMUM QUALIFICATIONS

Education: Advanced University degree in International Development, Monitoring & Evaluation, Information Management, Communications, or other relevant fields, or First University degree with additional years of related work experience and/or training/courses.

Experience: One year or more of postgraduate professional and progressively responsible work experience in the related business stream including experience in reporting, information management, infographics, and communication.

Knowledge & Skills:

• General knowledge of information management best practices, techniques and processes with some understanding of the basic theoretical background.
• Strong written and oral communication skills, including substantive analysis and report writing skills.
• Knowledge of, or the ability to quickly assimilate, UN/WFP specific processes and systems.

Language: Fluency in both oral and written communication in English.

FUNCTIONAL CAPABILITIES

  • Exposure to basic data management and analysis.
  • Experience producing reports/ humanitarian analysis.
  • Effective communication skills with both internal and external stakeholders.
  • Demonstrated organization skills.
  • Ability to maintain confidentiality.
  • Ability to develop and maintain relationships with a range of individuals in order to provide a high-quality support service.
