Position Summary

The position serves as the primary point of contact for the Dean’s Office. It provides executive-level support in all aspects of business, specifically communication and interaction with internal and external constituents. The incumbent effectively manages projects and operations and oversees the daily management of the Dean’s office.

Job Responsibilities

  • Manages sensitive issues for the Dean’s Office and performs a wide range of duties requiring tact, sensitivity, independent judgement, diplomacy, organizational skills, flexibility, and strict confidentiality.
  • Plans for and implements meetings of local high-level groups and international conferences and coordinates all such activities which hold institutional priority.
  • Works closely with the Dean, Executive Committee, and other senior administrators to support the Dean’s institutional responsibilities.
  • Leads the planning of high-priority projects and events designed to support institutional goals and achieve the mission and strategic vision across multiple divisions.
  • Formulates reports and prepares briefings and responses on institutional and strategic matters.
  • Evaluates, analyses and challenges governing function and recommends changes and improvements as required.
  • Creates/implements workflows and projects that anticipate or respond to the needs and priorities of the Dean.
  • Serves as a liaison on behalf of the Dean to internal and external groups, dealing with various concerns and issues. Communicates the Dean’s position and priorities, as required.
  • Builds and maintains successful working relationships with senior officials and coordinates with various offices, staff, students, and other stakeholders, internal and external to the college.
  • Drafts communications for the Dean and review communications prepared by others for the Dean.
  • Promotes the vision of the Dean by overseeing the coordination and implementation of the Dean’s Office’s internal and external engagement strategy and other related engagement activities.
  • Supports the Dean in preparing and delivering speeches and presentations for various college stakeholders (Joint Advisory Board, faculty, staff, students, alumnus, affiliates etc.).
  • Supervises, hires, trains, and evaluates Dean’s Office staff.
  • Oversees all operations of the Dean’s Office, including scheduling, events, and budget to support institutional priorities.
  • Serves and supports College committees as assigned.
  • Serves as secretary to the Joint Advisory Board.
  • Serves on various cross-functional teams to promote the vision and direction of the Dean and college.
  • Performs other duties as assigned.

Education & Experience

  • Bachelor’s Degree in any discipline (preferred administration) with 12 – 15 years of related experience in higher education.
  • Prior working experience in a medical institute, research or hospital is a plus.
