HR Assistant – IRBID Office
Action Against Hunger(ACF) is an international non-governmental organization working in more than 40 countries in the fields of nutrition, food security and livelihoods, water sanitation and hygiene, and care practices. ACF is looking for its program in Jordan for Human Resources Assistant
Workplace: Jordan – Irbid Governorate with field visits and support for other ACF offices will be required
Overview: The HR Officer is responsible for supporting both the Field Coordinator and the HR Department in Coordination Office in day-to-day HR & administrative functions of the Action Against Hunger.
Responsibilities:
Objective 1 : Follow up on the administration of the Field Offices human resources, in collaboration with the HR Senior Officer (Payroll and administration):
- Update HR database and prepare all documents needed for the payroll (leaves, salary advances …).
- Follow up on actions needed as per contract management process and ensure proper alert on end of contract dates to managers.
- Ensure all performance appraisals and plan of actions for field based staff are carried out on timely manner.
- Support in Medical insurance management for field staff.
- Support in On-boarding & Off-boarding process for field staff.
- Manage GTA timesheet system at field level on a monthly basis
- Consolidate and report HR requests from field staff
- Support in recruitment process when needed.
- Support in organizing field staff training sessions, workshops and activities when needed.
In coordination with the Field Coordinator:
- Organize general meeting with the staff and write minutes of meeting.
- Ensure HR presence in all field locations and sub officers as per a schedule agreed with Field Coordinator
- Report to Field Coordinator monthly attendance and take proper actions as per Field Coordinator guidance.
- Consolidate and report HR requests from field staff
Objective 2:Filing, Archiving ,and E-archiving:
- Create and control electronic archive for the field by scanning all HR documents and storing them in designated places on ACF network.
- Maintain an efficient filing system to make updating and retrieving HR documents easier. (Easy access filing system).
- Follow up and update the e-filing system for HR personnel files, staff development records.
- Follow policies and confidentiality dictations to safeguard data and information
- Conduct routine verification to ensure integrity of electronic archiving system, in collaboration with HR Senior Officer in Amman.
- Prepare files for auditing purposes, and track materials removed from personnel files in order to ensure that borrowed files/document returned.
Objective 3: Support project implementation IBVs component:
- After receiving the necessary coaching, lead the IBVs management process as per IBVs management SOP.
Objective 4:General Responsibilities:
- Maintain the confidentiality of all sensitive HR information at all times.
- Commit and comply with the organization gender, age and diversity principles & policies (working with people, communication).
- Support HR department functions in case of staff absence and gap filling.
- Support on the implementation and the promotion of gender, age and diversity principles through daily activities and or through the management of their teams (Managing performance & development
- Ensure compliance with the mission & HR rules and regulations and policies
Skills
- Strong MS Office skills and the ability to use technology to collaborate across a global organization.
- Good understanding of Jordan legal and administrative environment.
- Good interpersonal, organizational, prioritizing and communication skills.
- Capacity of work, able to overcome stress and work under pressure, with high degree of flexibility
- Professional, autonomous, organized, mature, self-motivated.
- Knowledge of local cultures and ability to work in a multi-cultural environment.
- Ability to work in fast-paced environment and handle a high volume of requests in an effective and timely manner
- Sense of confidentiality.
- Strong sense of personal integrity.
- Must be dependable and able to follow instructions.
Education:
BA degree or Diploma in Business, Public Administration or related discipline. HR Certification preferred.
Type of professional experience requested:
- 1 year experience in human resources or administrative management, preferably with an INGO.
- Related internship or volunteering experience will be a plus.
Language: Excellent written and spoken skills in Arabic and English.
