HR Assistant

PURPOSE

​Under the close supervision of the HR Officer, the HR Assistant 1 assists in carrying out administrative work, preparing and updating documents to ensure quality HR Services delivery.

Relationships

  • Internally, interacts with delegation employees.
  • Externally, may interact with local administrative authorities.

ACCOUNTABILITIES AND RESPONSIBILITIES

Employee Files

  • Is in-charge of keeping and updating all employee personal files for the delegation resident employees.
  • Ensures the employee files are filed in accordance with the ICRC standards.
  • Creates Employee Files—both hardcopy and on the HR information system—as soon as documents obtained from HR Officer in charge of recruitment.
  • Ensures New Recruitment Form is handed over to HR Officer in charge of payroll for payroll processing.
  • Is responsible for the archiving or destroying of HR documents according to archiving rules.
  • Ensures all information contained in each file is correct and is constantly updated following any changes from the organisation or from the individual.
  • Is responsible for filing other documents regarding the life cycle of an employee, including warning letters, Performance imrpvenment Plan PIP, End of service Indemnity and Social Security, Insurance documents End of Contract (EoC) / death benefits.
  • Follows up with the HR Officer- Logitics Service Centre LSC to ensure all original copies of documents are put in each employee personal file as per standard requirements.

Contracts

  • Requests LN accounts and credentials for newly recruited staff members.
  • Provides list of newly recruited staff to the LnD Focal HR Staff allowing better preparation for the welcome to the ICRC courses

Recruitment support

  • Inviting candidates for tests / interviews as may be instructed by the recruitment team.
  • Send reject e-mails to the non-selected candidates as may be directed by the recruitment team.
  • Liaise with the premises to for the arrangement of meeting room to organize test/ interviews.

Other duties

  • Provides assistance to other members of the HR team as and when required.
  • Interacts with ICRC employees of the delegation and possibly with some external contacts with local administrative authorities.
  • Is the chancellery focal point for HR department
  • Ensure that HR team are acquainted with the use of the team space, if needed proposes the necessary training on team space to the HR Officer/ Team.
  • In collaboration with HR Officer 1 updates and report to chancellery weekly EoC and BoC for resident staff as obtained from Strategic.
  • In charge of Holidays / Absences, overtime and ID card procession.
  • Ensure distribution of medical insurance cards to employees.
  • Check AMM HR services (STM) on daily basis for the necessary attribution to HR team.
  • Translate simple administration documents upon request.

GENERAL DUTIES

  • Provides general secretarial and administrative support (drafting letters, stamp, staff files and contractual updates in the respective staff personal files, correspondences, registration and filing);
  • Prepares employee confirmation letters to the bank.
  • Assists in the distribution of monthly salary sheets to staff.
  • Performs HRIS data entry and personnel file maintenance
  • Provides staff with HR related forms such as for overtime, leave, salary advance, perdiem etc according to need and/or request.
  • Monitors seniority of employees in the excel file as extracted from Strategic and prepares and issues ICRC certificates and long service gifts.
  • In charge for Stationery requests.

Minimum required knowledge & experience:

  • University Degree or equivalent degree in human resources, Business Adminsration or any related field
  • 3-5 years’ experience in human resources, administration, office or service management, client or public relations
  • Conversational in English and Arabic
  • Good computer knowledge
  • Skilled in the following competencies: Adapting & Learning; Teamwork; Planning, Organization & Assessment; Communication (Ability to express views and ideas); Representing the ICRC
