Document Controller/Administrative assistant (min 4 years experience): The successful candidate should perform a variety of tasks including document control functions for projects.

Coordinates the flow of documents between all disciplines, have knowledge of both the work processes of document control and also the use of electronic systems to manage documentation.

As a Document Controller, you will assume the duty of administrative staff as well. You will be the point of reference for all queries, requests and will be an integral part of the office.

RESPONSIBILITIES:

  • Should have a basic understanding of projects and documentation system
  • In charge of project folder setup, folder management, formulating registries, document and drawing number allocation.
  • Controlling the flow of documents in and out of the office.
  • Liaising with and distributing project-related information with the project team and external parties.
  • Process and control all project document types on a day-to-day basis in an accurate and timely manner.
  • Ensure that quality documentation, such as documents, drawings, RFIs, and incoming and outgoing registers, is maintained.
  • File documents in physical and digital records and ensure appropriate storage.
  • Maintain confidentiality of sensitive documentation.
  • Performs other responsibilities associated with this position as may be appropriate
  • Screen and direct phone calls/Emails and distribute correspondence
  • Produce reports, presentations and briefs
  • Compose, edit and draft letters, addendum, and contracts.

المهارات

  • Diploma in related discipline and at least 4 years of administrative and document control experience.
  • Good English communication skill, smart and presentable
  • Proven work experience as a secretary or administrative assistant. (experience in Architecture/Engineering company is a must)
  • High degree of multi-tasking and time management capability
  • Excellent written and verbal communication skills
  • Expert with all MS Office suite applications
  • Excellent marketing research skills
  • Capable of managing multiple tasks
  • Provides general office and operational support
  • Well informed of matters related to Architecture and Engineering practice
