Brief description of WFP Innovation Accelerator, INKA:

The purpose of this job is to provide support in all administrative aspects of the Innovation Accelerator events (both in person and virtual) which are the backbone of our operations.

KEY ACCOUNTABILITIES (not all-inclusive)
1. Ensure the end-to-end planning of in-person, online, and hybrid events organized and/or hosted by the Accelerator such as innovation bootcamps, pitch events, workshops and project showcases:
- Identify requirements for each event together with relevant team members;
- Establish the operational planning process of the events, integrating all tasks, deliverables, and timelines into the event’s master plan (e.g. gantt charts and planning worksheets);
- Ensure clear roles and responsibilities are defined and assigned, with regular milestones check-ins;
- Ensure delivery within established timelines and budgets;
- Handle the operational and administrative aspects of preparing for the event, orchestrating the work of external vendors, and collaborating with other Accelerator teams such as the Office of the Director, Partnerships and Communications and other relevant teams at the Innovation Accelerator;
- Conduct all pre-event communications for participants and guests to ensure a complete event onboarding and participation experience;
- Ensure alignment between participants’ needs, stakeholders and the rest of the Innovation Accelerator functions, to achieve a cohesive delivery of event operations;
- Coordinate the scheduling and own the calendaring logistics of each event, including invitations and guest management;
- Ensure the positioning of the WFP Innovation Accelerator as industry/sector leader by the preparation and production of internal and external events, bootcamps, meetings and workshops (including agendas, communications materials, corporate PowerPoint presentations, briefs, team biographies), in such a way that advances the Innovation Accelerator’s strategy and objectives;
- Coordinate services provided by external event production vendors, when applicable;
- Ensure project management elements are effectively planned and executed for events, including supporting the development of innovative event formats;
- Actively support procurement processes related to event planning and execution; and
- Document events-related business processes (including flowcharts and planning best practices).
- Develop and maintain a global events calendar for the Accelerator.
2. Ensure continuous improvement and lessons learned capturing linked to innovation events implementation:
- Ensure the development and improvement of activities and processes, including content design, operational coordination and planning;
- Create and update process documentation, checklists, templates, project plans and other tools to streamline and simplify event execution;
- Conduct market research, evaluate and provide recommendations linked to events service providers;
- Conduct evaluations, capture learning, and debriefs to determine how future events can be improved.
3. Drive the strengthening of the Accelerator networks (WFP executives, VIPs, mentors, start- up community):
- Propose and implement innovative engagement formats for the Accelerator network;
- Build and maintain effective relationships with internal and external events focal points; and
- Ensure Accelerator, donor, and partner visibility where applicable.
4. Support the overall Innovation Accelerator operations:
- Provide analysis & content preparation (data on projects, PowerPoint presentations, briefs, etc.) for corporate priority topics and management meetings;
- Participate and carry out discussions with colleagues in other divisions or external stakeholders on topics related to innovation;
- Support other core processes of the Innovation Accelerator (e.g. innovation sourcing; innovation services; sprint programme; scale-up enablement; knowledge management, and thought leadership) as required;
- Support the Head of the Innovation Accelerator and the Director of Innovation and Knowledge Management with any other activities as required.
STANDARD MINIMUM QUALIFICATIONS
Education: Bachelor’s degree. Master’s degree is a plus
Experience: At least 3 years of progressively responsible national and/or international experience in in-person, virtual and/or hybrid events planning and implementation. Prior experience of working in an innovation structure such as an incubator or an accelerator is a plus.
Languages: Fluency in oral and written English is mandatory. Knowledge of another official UN language (Arabic, Chinese, French, Russian and Spanish) or Portuguese (one of WFP’s working languages), or German is considered advantageous.

- Strong conceptual thinking to develop and implement new communications and events strategies and coordinate projects.
- Excellent communications skills, with the ability to produce high-quality written materials, including graphically based PowerPoint presentations as well as text documents.
- Ability to interact with internal stakeholders and leadership, and external audiences with maturity and tact.
- Experience working cross-functionally and getting things done in a scrappy and hands-on way.
- Able to design and generate new and original solutions to complex problems.
- Able to interact with a broad range of stakeholders and external audience with maturity and tact.
- Collaborative spirit, able to work effectively with a wide range of people at all levels and across different cultures and to act with credibility and diplomacy.
