Supervise all administrative functions and staff within the groups assigned. Develop and streamline Administrative department procedures which allow for the timely processing of all departmental documents. Perform special assignments for the management staff, necessitating high level contact and exposure to sensitive information requiring considerable use of tact, diplomacy, discretion and judgment.
Essential Functions
• Line management responsibilities for two or more staff; professional development, performance appraisals, and employee counseling for junior staff. Assign project work and review workload for all direct reports. Supervise staff by assigning responsibilities when necessary, by establishing goals that will increase knowledge and skill levels, and by delegating tasks commensurate with skill level.
• Support the Management team in providing/assigning Administrative Assistant support.
• Schedule appointments as determined by priority.
• Prepare and compose correspondence and reports.
• Maintain all files, confidential records.
• Coordinate travel schedules, arrange meetings and teleconferences.
• Filter all telephone calls, mail and email; dispersing and handling as appropriate.
• Receive, photocopy, distribute, and file a variety of incoming and outgoing correspondence and reports.
• Oversee all incoming and outgoing mail and correspondence including but not limited to faxes, courier deliveries, etc.
• Take and distribute internal meeting minutes.
• Coordinate and plan facility needs (space, equipment, etc)
• Develop and design improved administrative procedures to promote the timely processing and submission of all administrative deliverables.
• Prepare and submit of expense reports as requested by management.
• Coordinate P-Card activities including but not limited to the ordering of supplies and submitting Visa statements in a timely manner.
• Coordinate activities between QAMR and QEUR departments/divisions.
• Function as IT liaison and coordinates maintenance and upgrading of hardware/software systems.
• Ensure all documents for intra/cross departmental plans/decisions are created and maintained appropriately.
• Prepare correspondence for both internal and external clients consisting of special reports and presentation materials.
• Develop and implement an efficient work flow and information tracking/retrieval system across all assigned projects, and maintain/archive files and records.
• Participate in the planning, coordination, and preparation of major business meetings, luncheons, and dinners involving both internal and external clients, departments and companies (including attendance at off-site study specific meeting as required).
• Perform other duties as required.
• All responsibilities are essential job functions unless noted as nonessential (N).
Qualifications
• Bachelor's Degree in Business Administration or any related field.
• 5 years related experience, including 1 year of supervisory experience Or
• Equivalent combination of education, training and experience.
• Excellent computer skills (MS Office Suite, MS Word, MS PowerPoint, MS Access, MS Outlook, and Internet).
• Excellent oral and written communication skills and above average interpersonal skills with team orientation.
• Ability to work both within a team environment and independently to prioritize tasks
• Ability to maintain demanding timelines.
• Ability to prioritize, actively seek input, and problem solve.
• Ability to work independently and manage time efficiently.
• Ability to be self-directed, prioritize opportunities and perform multiple tasks.
• Ability to establish and maintain effective working relationships with coworkers, managers and clients
