Our client is a private holding company that has an excellent legacy in the Kingdom of Bahrain since it was founded in the 1950s. The company offers various services in the Construction, Manufacturing, Hospitality industries and more. They are currently looking for an Executive Assistant/ Executive Secretary to be based in Bahrain.
Duties & Responsibilities:
- Acts as Executive and Administrative assistant to the Managing Director. Interpret administrative policy and decisions as explained and directed.
- Takes and transcribes difficult technical dictation if necessary. Prepares reports and records. Takes calls and answers inquiries, opens and sorts mail, compose correspondence independently and maintains records and files.
- Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Provides historical reference by developing and utilizing filing and retrieval systems recording meeting discussions.
- Conserves executive's time by reading, researching, and routing correspondence drafting letters and documents collecting and analyzing information initiating telecommunications.
- Maintains office supplies inventory by checking stock to determine inventory level anticipating needed supplies evaluating new office products placing and expediting orders for supplies verifying receipt of supplies.
- Operates standard office, word processing and computer equipment.
- Performs related work as required.
Qualification & Requirements:
- Graduate with commercial or business school training or equivalent of A level educational background with minimum of five years of experience.
- Thorough knowledge of standard office practices, procedures and secretarial techniques.
- Ability to interpret and apply policies and procedures.
- Ability to type, take and transcribe dictation accurately at a reasonable rate of speed.
- Ability to plan and supervise the work of others, ability to establish and maintain effective working relationship with other employees, ability to work independently in the absence of specific instructions.
- Ability to understand and follow written and verbal instructions.
- Ability to establish and maintain effective working relationship with other employees, officials and clients.
- Ability to communicate effectively both verbally and in writing, using excellent English.
- Ability to receive and welcome client and employees, wishing to meet the Managing Director.
